Job Description

The Administrative Assistant will provide clerical support for the FCA field office to accomplish the FCA mission and vision and reflect the FCA Core Values in the ongoing work of that office.

MINISTERIAL DUTIES

These responsibilities are critical to the FCA mission and this position plays a vital role in our ministry. FCA expects all functions and responsibilities outlined below to be carried out with a heart surrendered to serving God as a form of worship.

  • Agree with, and abide by, FCA's Christian Community Statement.
  • Follow a spiritual rhythm including daily prayer and Bible study to seek the Lord's will for FCA.
  • Lead, conduct and provide spiritual leadership for staff, volunteers, coaches and athletes through prayer, Bible study, worship and living by example so they are equipped to serve others.
  • Connect to and participate in a local church through worship and weekly involvement.
  • Conduct yourself in a manner that affirms biblical standards of conduct in accordance with FCA's Christian beliefs (see FCA's Christian Community Statement) at all times.

POSITION RESPONSIBILITIES

  • Responsible for appointments/meetings with staff, ministry partners, vendors, etc.
  • Handles travel arrangements for assigned staff.
  • Receives and screens telephone calls and emails for area office.
  • Retrieves, opens, and distributes office mail.
  • Plans, organizes, and completes assigned work in a timely manner.
  • Manages development of resources and meets deadlines of assigned projects.
  • Coordinates donor ministry events, banquets, staff meetings, etc.

Qualifications

This part-time administrative position is strictly for FCA Volleyball Club in Harford County, Maryland. The ideal candidate would have some volleyball background or knowledge of the sport, or a willingness and ability to learn quickly. We are looking for someone who is organized, dependable, detail-oriented, and passionate about supporting athletes, coaches, and families while helping our club operate with excellence and stay aligned with FCA’s mission.

Responsibilities include, but are not limited to:

Weekly Responsibilities

  • Managing club email communication, including responding to general inquiries and ongoing parent/player questions

  • Assisting with social media management across Facebook, Instagram, and the club website

  • Supporting the Club Director with monthly newsletters for club families and donors

  • Updating the website weekly as needed

  • Assisting with team finances, including following up with families regarding registrations and payments

  • Helping process tournament payments and related team expenses

  • Assisting with event planning for club-wide events such as the Christmas party and end-of-season celebrations, including:

    • Registration setup and management

    • Social media promotion and email communication

    • Timeline planning and coordination

    • Collecting donations and organizing supplies, gifts, and event resources

Additional Club Responsibilities

  • Monitoring player financial accounts and informing the Director of any overdue or missing payments

  • Ensuring all athletes have current AAU/USAV memberships and required trainings completed

  • Creating programs and registrations within league and tournament apps/platforms

  • Tracking volunteer progress through the FCA VIP system and ensuring volunteers are fully approved and confirmed

  • Supporting head coaches with administrative or operational needs as they arise

  • Attending bi-weekly staff meetings with the Club Director

  • Submitting invoices through Databasics for gym rentals and other club expenses

  • Preparing and submitting expense reports
