Job Description

RESPONSIBILITIES:

  • Enter scrap tickets and process scrap billing using AS400 and D365
  • Maintain the mill claim log and supporting documentation for Operations and Purchasing using SharePoint and internal systems
  • Provide front desk and reception support, including handling phones, Outlook email, mail, and visitors
  • File shipping and production documents (electronic and hard copy) and retrieve records as needed via SharePoint and internal databases
  • Greet and direct guests, vendors, and service technicians
  • Manage office supply inventory and coordinate ordering through purchasing systems
  • Create access badges and manage site access updates using Johnson Controls systems
  • Perform data entry, including reports and scrap logs in Excel, D365, and AS400
  • Manage indirect purchase order (PO) activity from initiation through completion in D365; coordinate communication with Accounts Payable (AP), Receiving, and Management

ROLE REQUIREMENTS:

  • 2-year degree preferred or 2 more years of experience in Customer Service and/or Administrative or office support experience preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience working within ERP systems (e.g., D365, AS400)
  • Ability to proofread.
  • Ability to work independently and identify and solve problems.
  • Experience with SharePoint or similar document management systems preferred
  • Good organizational skills with attention to detail and accuracy
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Excellent verbal and written communication skills
  • Professional demeanor with strong customer service skills
  • Ability to handle confidential information with discretion
  • Basic understanding of purchasing processes and documentation preferred
  • Reliable attendance and ability to support front office coverage during business hours

EQUIPMENT KNOWLEDGE:

  • Proficient in Microsoft Office Suite or similar software.
  • General office equipment, including multi-line phone systems, printers, copiers, and scanners
  • Badge/access control systems (e.g., Johnson Controls)
  • Basic troubleshooting of standard office equipment
  • Filing systems (physical and electronic records management)

PHYSICAL DEMANDS:

  • Prolonged periods of sitting and working at a computer using standard office software
  • Frequent use of hands and fingers for typing, filing, and operating office equipment
  • Ability to occasionally stand, walk, bend, and reach
  • Ability to lift and carry office materials up to 20 pounds (e.g., files, paper boxes, supplies)
  • Visual acuity to review documents and data on a computer screen
  • Ability to communicate effectively in person, via phone, and through email

  • Frequent interruptions and the need to manage multiple priorities in a fast-paced environment
