We are looking for a high output, thoughtful, and skilled Administrative Assistant to add value, energy, and support to our team in Burnaby. You love to collaborate and optimize both your time and your stakeholders time. You are always looking for better ways of working and love to improve processes.

What your team does:

Our OCEO team provides partnership and administrative support to ensure efficient operation of Executives at Clio. This role involves handling a variety of tasks, including administrative duties, onsite management, communication, and calendar scheduling to support managers, employees, and visitors. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.

What you’ll work on:

  • Supporting executives, managing executive calendars, meetings, appointments and travel plans

  • Coordinate events and onsites in collaboration with Executive Assistants

  • Act as a main point of contact for OCEO team in Burnaby for onsites and other in-person events

  • Manage monthly expense reports and maintain organized records

  • Coordinate all aspects of executive travel, including itineraries

  • Handling inquiries and requests, triaging business priorities with support from Executive Assistant

  • Provide support to the OCEO team and collaborate with other departments

  • Contribute to the OCEO internal resources and community of best practices

  • Administer department tools including our knowledge management system, ensuring content is up to date

  • Assist with special projects and other related duties as assigned

  • Liaise with the Workplace Experience and other business teams as required


What you bring:

  • 1-2 years of proven Administrative experience

  • Proficiency in Google Suite and Slack

  • Strong organizational and time-management skills

  • Clear and concise communicator both written and verbally

  • Ability to multitask and prioritize tasks efficiently

  • Attention to detail and problem-solving skills

  • Professional demeanour and ability to work both independently and as part of a team


Bonus points if you have:

  • Experience in event planning or management

  • Expense management experience, specifically using Concur

The expected salary range* for this role is $62,900 to $74,000 to $85,100 CAD. There are a separate set of salary bands for other regions based on local currency.


*Our salary bands are designed to reflect the range of skills and experience needed for the position and to allow room for growth at Clio. For experienced individuals, we typically hire at or around the midpoint of the band. The top portion of the salary band is reserved for employees who demonstrate sustained high performance and impact at Clio. Those who are new to the role may join below the midpoint and develop their skills over time. The final offer amount for this role will be dependent on geographical region, applicable experience, and skillset of the candidate.
