Here’s how you will make a difference in this role…
We have an opportunity for an Administration Officer within the Just Honk Used Cars business. In this role you will be responsible to provide all admin assistance to the Just Honk Used Car business including support to the Sales Consultants, Sales Manager and General Manager within the branch. Responsibilities for this position are designed to ensure the branch’s processing of sales is accurate and timely including all sales paperwork, reconciliation of statements, receipt of payments and data entry etc. Included in the position is the general maintenance of the yard, stock, transportation to and from 3rd party suppliers.
The position requires a passion for customer service and eagerness to go that extra mile for our retail customers.

Assisting the team with the administration requirement linked to each sale.
Assist with reception or general office duties as required including the accuracy and timeliness when completing the banking (receipting and bank statement reconciliation)
Transfer all vehicle permits and number plates with RTA including compliance with regulatory requirements and internal business rules.
Manage the Credit Card reconciliation process – ensuring all statements match the payments made to RTA.
General administrative tasks such as processing incoming and ongoing mail, invoices and keeping internal records up to date and assist with other Ad Hoc processing duties as required.
Assist customer from first enquiry to delivery of vehicle via phone, email and face to face sales. Demonstrating exceptional customer service in all interactions and following the “Road to a Sale” sales journey.
Ensuring the customer is fully educated and understands the nature and provisions of the sale of the vehicle
Work with team and General Manager to facilitate face to face appointments as required
Work with internal and external colleagues and third parties to deliver an exceptional service experience for our customers
Develop sound working relationships with clients and colleagues, anticipating customer needs and improving services to meet those needs.
Contribute to team meetings
To be considered for this role you will have:
A high level of integrity and professionalism in dealing with sensitive, highly confidential information.
The ability to prioritise and work to tight deadlines being flexible and adaptable to work autonomously and unsupervised in achieving outcomes.
Strong written and verbal communication skills with a confident, proactive engagement and interpersonal style
Sound planning, organising and time management with the ability to complete tasks with a high degree of accuracy and attention to detail.
Proactive and client-focused service attitude.
Knowledge & Experience
Previous administration experience is essential
Proficient computer skills in MS word, Excel, PowerPoint and Outlook email
Understanding of the corporate operational environment, and a sense of business acumen
Vehicle dealership experienced preferred
Qualifications
VCE or equivalent at a minimum.
Must have a full driver’s licence (including the ability to drive a manual vehicle)
