Job Description

  • The Administrative Assistant position resides in the Project Vision within the GBO External Manufacturing organization, which includes Focus Factory team in India and other supportive functions within the company
  • This position provides proactive, high-quality, flexible, and reliable administrative support to the Project Vision Program Head-AVP. This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of the office and its team members.
  • In addition to supporting the Project Vision team, this position supports various division-related committees and meetings along with Partner organization that enhance the division and further its goals. This position reports to AVP-Project Vision.
  • This position is based at Hyderabad-India
  • Travel Requirement- Yes to the partner sites within Hyderabad

Responsibilities and Primary Activities

  • Manages complex calendars, prepares correspondence and reports, and reliably handles confidential and politically sensitive issues.
  • Often serves as an initial point of contact for and liaison to outside visitors, clients and vendors.
  • Coordinates and performs multiple tasks while understanding the project principles and technical skills related to own work assignments.
  • Prioritize work activities with little supervision.
  • Supports the use of Team Sites.
  • Schedules interviews and one-to-one meetings.
  • Manages the MLT (Management Leadership Team) visits and co-ordinate with Admin team about MLT boarding and travel assistance to the partner sites.
  • Coordinates hiring and on-boarding of new hires. Also handle resignations/off-boarding.
  • Systems, Applications and Products in Data Processing (SAP) experience processing purchase orders, payment requests, and vendor add forms, as well as ability to run reports within SAP.
  • Concur experience for processing expense reports.
  • Communicates and interacts effectively with our company executives and internal/external clients both onsite and remotely to maintain workflow.
  • Coordinates special projects within the division or area.
  • Consistently demonstrates company leadership behaviors; able to deal with difficult situations and people diplomatically and effectively.
  • Schedules complex travel arrangements, including multi-leg domestic and international travel.
  • Handles visa and passport processing.
  • Handles and prioritizes many simultaneous assignments.
  • Performs some event planning and coordination.
  • Exhibits extraordinary attention to detail.
  • Demonstrates outstanding communication and people skills.
  • Manages financial and budget tasks.
  • Proactively takes initiative.
  • Manages the project Vision office in co-ordination with India central administration team.

Required Qualifications, Skills and Experience

Minimum

  • Bachelor’s Degree or higher.
  • Eight or more years of administrative-assistant experience.
  • Advanced ability using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and ability to operate other peripheral devices.
  • SAP experience processing expense reports, purchase orders, payment requests, and vendor add forms, as well as ability to run reports within SAP.
  • Advanced analytical ability, independent judgment, creativity, and problem-solving capabilities.

Preferred

  • Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
  • Experience in Pharma/Biotech/Vaccines Industry
  • Three or more years of executive administrative experience supporting senior executives (Senior Director, Executive Director, Vice President, or above).
