Job Description

Provide comprehensive administrative support to department leadership and team members. This role ensures smooth daily operations, manages communications, and supports internal coordination across projects, meetings, and member services.

Duties and Responsibilities:

  • Manage calendars, appointments, and priorities for department leaders to ensure efficient scheduling and time management.
  • Serve as a communication liaison and gatekeeper for leadership, maintaining professionalism and confidentiality.
  • Prepare for meetings by compiling agendas, taking minutes, and following up on action items to support team execution.
  • Organize travel arrangements and logistics for staff as needed.
  • Handle sensitive documents and information with discretion and accuracy.
  • Support special projects and meet critical deadlines as assigned by leadership.
  • Process expense reports and ensure compliance with internal policies.
  • Represent the department professionally in interactions with staff, members, and external partners.
  • Maintain and update department-related documents such as organizational charts, performance reports, and presentation materials.
  • Coordinate internal events or team-building activities (e.g., staff appreciation, holiday gatherings).
  • Track and manage department-wide calendars, timecards, and onboarding schedules for new team members.
  • Facilitate communication and documentation for department-level committees or initiatives.
  • Assist with monthly reporting, including gathering data for performance summaries or executive updates.
  • Other projects, reports, and additional duties as assigned.

Qualifications:

1–3 years of administrative experience or relevant education. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational and communication skills. Ability to work independently and collaboratively in a fast-paced environment. Commitment to maintaining confidentiality and professionalism.

Performance Standard:

Excellent word processing skills and proficient in the Microsoft Office Suite. Professional in appearance, attendance, and quality of work performed. Must maintain a high-level of confidentiality of Credit Union and member records. Ability to multi-task and learn other duties quickly. Have a general knowledge of all Credit Union functions, procedures, and policies preferred. Must be willing to comply with the Bank Secrecy Act and USA Patriot Act as implemented by ICCU.

Physical Requirements:

  • Perform tasks requiring manual dexterity (processing paperwork, filing, stapling, sorting, collating, typing, counting cash, etc.).
  • Sit for extended periods of time.
  • Lift 20-40 pounds of applicable supplies including but not limited to copy paper, cash drawers, marketing material, etc.
  • Repetitive motion using wrists, hands, and fingers.
  • Reach keyboards.
  • Ability to operate basic office machines (calculator, computer, telephone, copy machine, fax machine, etc.).
