- PURPOSE OF THE JOB (What are the end results or objectives of this position? Why does the job exist?)
Responsible for assisting the Vice President for Institutional Advancement in leading, coordinating, communicating, planning and scheduling across departments in the IA Division. Responsible for various events and projects relevant to Institutional Advancement.
- ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (What duties are required for the position to exist? Estimate the percentage of time spent in each.)
- Execute and coordinate projects assigned by the Vice President for Institutional Advancement. Provide information and assistance as needed.
- Coordinate division-wide meetings and inter-division meetings. Includes planning, booking meeting rooms, setting up, informing departments of meetings, getting materials ready, etc.
- Prepare agendas and take notes for staff meetings and other meetings related to Institutional Advancement.
- Help with the preparation and planning of important meetings like Board of Trustees, Southeastern Society, and SBC Annual Meeting.
- Assist with communication between Cabinet members and Institutional Advancement directors.
- Prepare presentations and trustee reports and recommendations for Institutional Advancement. Attend Institutional Advancement trustee subcommittee meetings to serve as secretary.
- Prepare, proof, and edit contract agreements, letters, emails, papers, and other documents for the Vice President for Institutional Advancement and Director of Planned Giving.
- Approve and reconcile expenditures for Institutional Advancement as authorized.
- Maintain and organize computer and hard copy (when vital) files so that necessary information can be easily and quickly accessed.
- Maintain office supplies as needed.
- General office duties include receiving and opening mail, answering phones, using a computer and copier, ordering office supplies, etc.
- General office procedures involving correspondence, communication, scheduling, and information and resources.
- OTHER DUTIES & REPONSIBILITIES (Responsibilities/important duties performed occasionally or in addition to the essential duties of the position.)
- - Proactively learn institutional history and regularly keep up with institutional and broader Southern Baptist Convention news.
- - Assist the various Institutional Advancement departments when needed.
- - Serve in other areas assigned by the Vice President for Institutional Advancement and the Director of Planned Giving.
- - Assist with course pages and grading, if necessary.
- SUPERVISORY RESPONSIBILITIES (Provide the number and type of employees supervised, level of authority to hire and fire or to make recommendations.)
- None.
- FISCAL RESPONSIBILITY (Budgeting responsibilities, approval privileges on purchase orders and check requests, reporting and auditing functions.)
- - Ability to approve on behalf of the VP Purchase Orders & Check Requests related to Institutional Advancement expenditures below $1000
V. EXTENT OF PUBLIC CONTACT (Within and outside the University)
- - Outside public contact is limited to the occasional answering of phones or email correspondence with donors, friends of the seminary, or public officials.
VI. PHYSICAL DEMANDS (Walking, lifting, equipment, operation, etc.)
- - Normal fitness for general office duties.
VII. WORKING CONDITIONS AND ENVIRONMENT (i.e., necessary travel, unusual work hours, unusual environmental conditions, etc.)
- - Appropriately safeguard sensitive information.
- - Possibility of working outside of normal office hours at peak times of the year (i.e. large campus events, Board of Trustee/Southeastern Society Meetings held two times a year, preparing for the SBC Annual Meeting, etc.).
