LOCATION:The Salvation Army -Ray and Joan Kroc Corps Community Center -Phoenix, Arizona

STATUS:Non-Exempt/Part time

Qualifications:

  • Bachelor's Degree in business or other area related to non-profit or public administration preferred.
  • Have a minimum of three years administrative support experience.
  • Possess solid computer skills with proficiency in MS Office including Outlook and the ability to type 60-70 wpm
  • Ability to maintain confidentiality.
  • Demonstrate strong written and verbal skills.
  • Bi-lingual (Spanish/English) preferred.
  • Must project an upbeat, energetic, positive, and congenial demeanor.
  • Possess strong interpersonal communication skills.
  • Ability to prioritize work, multi-task simultaneous projects, and work well under pressure.
  • Abide by Salvation Army Policies and Procedures and support the Salvation Army mission.
  • Must have a valid Arizona Driver’s license and insured transportation.
  • Must successfully pass a criminal background check

Responsibilities:

  • Provide general administrative support for the Kroc Administrator, Corps Officers, Center Director, and Asst. Center Director that includes but is not limited to:
  • Produce or draft correspondence such as letters or statements.
  • Manage confidential information appropriately.
  • Create committee or Advisory Council meeting agendas and prepare meeting materials.
  • Send meeting reminders to all Advisory Council members at least one week in advance.
  • Take minutes at Advisory Council and other meetings as assigned; prepare and distribute in a timely manner.
  • Keep Advisory Council Roster updated (home address, business and telephone, and member lists of all advisory committees).
  • Order meal/drinks for Advisory Council meetings. Communicate in advance with Council members regarding any special delivery requests.
  • Perform clerical duties such as answering or placing phone calls, communicating via email, greeting office visitors, and proofreading documents (program guide, etc.).
  • Create and maintain computer and hard-copy files for all important information such as Rosters, email/Telephone lists, correspondence, requisitions, etc.
  • Prepare and mail letters as requested.
  • Keep Kroc phone directory updated and distribute to staff as instructed.
  • Prepare monthly reports as assigned.
  • Maintain all mailing lists for the Ray & Joan Kroc Corps Community Center as required.
  • Reserve the administrative conference room as needed for meetings thru RMS and prepare all physical arrangements – i.e. room setup, menu, snacks, nametags, etc. Responsible for returning the room to normal condition after all meetings.
  • Process requisitions or proposals for Command Finance Council (CFC) as requested.
  • Manage daily deposits, invoices, and checks.
  • Reconcile receipts for corporate card purchases.
  • Manage, track, and distribute petty cash.
  • Maintain statistical data for the RJKCCC. This includes but is not limited to collecting statistical information from all departments, inputting statistics into a computer database, and generating reports monthly.
  • Perform other duties as assigned as related to the position of Administrative Assistant.

While performing the duties of this job, the employee is regularly required to walk, stand, climb or balance, stoop, kneel, crouch, crawl, and reach with hands and arms on a continuous basis. The employee must regularly lift and/or move up to 20 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus. Must have the ability to operate a telephone, a desktop or laptop computer, as well as the ability to access and produce information from a computer, and to understand written information.
