About this opportunity
FOCUS Assessments looking for a candidate who is a quick learner and highly organized, with excellent computer skills, to work as an Administrative Assistant supporting our Intake and Scheduling teams at our Waterloo clinic.
This is a full-time position reporting to the Manager of Operations.
Take an inside look at what you’ll do each day
Data Entry of Referral into Referral Management Software
Provide appointment details (Appointment Letters and Notices) to referral source within Service Level Agreement expectations
Receive/retrieve medical information from Referral Source and prepare Medical Briefs to be sent to assessors in a timely manner;
Identify any conflict of interest within the medical file by reviewing the material provided and action accordingly;
Accurately apply appropriate naming convention and save all documents within standard process;
Transmit or forward documentation packages to assessors through their desired channel of secure communication;
Provide necessary documentation and coordinate communication with assessors for any arbitration or expert witness testimony requirements.
Assist with answering incoming calls
Support for same day of issues, cancellations and no shows including direct reschedules
Assist with Appointment Reminder Calls
Other administrative support, as required
What you need to be successful
Computer Proficiency – MS Office 365, MS Excel and MS Word, and Adobe Acrobat/Reader
Excellent telephone manner, ability to communicate in English by phone and email
Strong organizational and prioritizing skills and effective time management skills required
Ability to learn quickly in a fast-paced environment with minimal supervision
Accuracy and attention to detail in tasks
Knowledge of the rehabilitation and independent medical sector an asset, but not required
