Job Description

The Administrative Assistant to the Chief Financial Officer (CFO) provides high-level administrative and operational support to the CFO and Finance leadership team. This role is critical in ensuring the smooth functioning of the Finance department, managing confidential information, coordinating executive-level communications, and supporting strategic financial initiatives.

The ideal candidate is highly organized, proactive, detail-oriented, and capable of thriving in a fast-paced, executive environment.

Key Responsibilities

Executive Support

  • Provide direct administrative support to the CFO, including calendar management, meeting coordination, and travel arrangements
  • Prepare, review, and edit correspondence, reports, presentations, and confidential documents
  • Serve as a gatekeeper for incoming requests, prioritizing and managing communications on behalf of the CFO

Meeting & Communication Coordination

  • Schedule and coordinate internal and external meetings, board meetings, and executive briefings
  • Prepare agendas, take meeting notes, and track follow-ups and action items
  • Liaise with senior leadership, board members, auditors, and external stakeholders

Financial & Operational Support

  • Assist in preparing financial reports, presentations, and board materials
  • Support month-end and quarter-end processes by coordinating deliverables across teams
  • Track deadlines, deliverables, and financial reporting timelines

Project & Office Management

  • Assist with special projects led by the CFO or Finance leadership team
  • Maintain organized filing systems for financial and executive documents
  • Support onboarding and coordination of new Finance team members as needed

Confidentiality & Compliance

  • Handle sensitive financial and corporate information with the highest level of discretion
  • Ensure compliance with internal policies and governance standards

Qualifications

  • 3–7+ years of experience as an Executive Assistant or Administrative Assistant supporting senior leadership (C-suite preferred)
  • Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of professionalism and discretion when handling confidential information
  • Experience in Finance, Accounting, or Corporate environments is a plus
