About the Role
SEIU Local 2015 is seeking a highly organized and detail-oriented Administrative Assistant to support regional or departmental operations across the organization. This position reports to a Regional Director or Department Leader and plays a critical role in ensuring efficient administrative operations, strong data integrity, and high-quality support to staff, members, and leadership.
The Administrative Assistant serves as a key operational partner, supporting day-to-day administrative functions, maintaining tracking systems, coordinating logistics, and ensuring compliance with organizational processes. This role requires strong organizational discipline, adaptability, and the ability to manage multiple priorities in a fast-paced, mission-driven environment.
This position will be based in the Sacramento office until the Stockton office is established. Upon opening, the role will transition to a hybrid schedule of three (3) days per week in Stockton and two (2) days per week in Sacramento.
Key Responsibilities
Administrative & Operational Support
• Provide comprehensive administrative support to assigned departments and leadership
• Manage calendars, schedule meetings, and coordinate travel arrangements
• Prepare agendas, meeting materials, and take and distribute meeting minutes
• Draft and edit correspondence including emails, reports, forms, and announcements
• Maintain organized filing systems (electronic and hard copy)
Data Management & Tracking
• Create, update, and maintain spreadsheets and databases to track departmental activities
• Support tracking and reporting for membership data, COPE, organizing efforts, and compliance activities
• Ensure accuracy and integrity of data entry, reporting, and documentation
• Maintain activity reports, attendance records, and expense tracking
Member & Staff Support
• Serve as a point of contact for member and staff inquiries via phone, email, and in-person interactions
• Process requests, escalate issues as appropriate, and ensure timely follow-up
• Provide administrative support for regional and department-wide initiatives
Coordination & Event Support
• Coordinate logistics for meetings, trainings, and regional or organization-wide events
• Support room setup, materials preparation, and follow-up actions
• Assist with inventory tracking and ordering of office supplies
Compliance & Administrative Operations
• Ensure adherence to administrative processes, timelines, and documentation standards
• Support processing of required communications such as Beck Notices
• Maintain confidentiality and handle sensitive information with discretion
• Support special projects and additional assignments as needed
Qualifications
Qualifications
• 2–3 years of administrative assistant or related experience in a corporate, nonprofit, union, or public-sector environment
• Experience supporting multiple teams, managers, or departments in a fast-paced setting
• Demonstrated experience with data entry, reporting, and maintaining tracking systems
• Strong experience preparing professional correspondence and administrative materials
• Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Ability to type at least 45 words per minute
• Strong organizational and time management skills
• Ability to multitask, prioritize, and meet deadlines under pressure
• Experience working with diverse teams and stakeholders
• Bilingual skills highly desirable
• Experience in a union or mission-driven organization preferred

Work Environment & Travel Requirements
This position operates in a fast-paced, mission-driven environment where work schedules may occasionally extend beyond standard business hours, including evenings or weekends, to support organizational priorities.
Some limited travel may be required.
Physical requirements include extended periods of sitting, typing, and working at a computer, as well as the ability to lift up to 20 pounds.
