BRIEF DESCRIPTION:
The Administrative Assistant provides administrative support for the Branch office. The ideal candidate will be experienced in handling a wide range of administrative related activities. The ability to work under broad direction, requiring significant interaction with branch staff, clients, vendors and visitors with a high degree of professionalism is strongly valued.
PRINCIPAL DUTIES & RESPONSIBILITIES:
*Provide an exceptional customer experience to all customers, vendors, and employees by greeting people as they come into the office answering telephones, screening calls and visitors and directs individuals to the proper contacts.
*Provides administrative support to the Vice President and members of the branch team as directed.
*Organizes, monitors, prepares, tracks, updates, and compiles internal and external documents; organizes and maintains information; keeps advised on the current status of work of the managers and anticipates the Vice President's needs; arranges and coordinates appointments, meetings.
*Sorts mail and packages and distributes them appropriately.
*Prepares reports, presentations, and diagrams or other support documents for the Vice President.
*Organizes and maintains the cleanliness of copy rooms, storage areas, conference rooms and the break room/kitchen. Weekly basis and keeps all common areas orderly and clean.
*Orders and stocks supply for each area and maintains records of expenses.
*Provides support in mailing and shipping letters and packages
*Supports various projects, initiatives and events as needed.
SUPERVISORY RESPONSIBILITY:
This position has no direct reports.

*High level of customer service, and ability to resolve customer concerns and issues with tact and decorum.
*Ability to maintain a high level of confidentiality.

*Strong organizational skills and ability to manage time effectively, including the ability to multi-task and work in an environment with changing priorities.
*Superior verbal and written communication skills.
QUALIFICATIONS & REQUIREMENTS:
*1-3 years of administrative experience.
*Exceptional customer service skills
*Experienced with Microsoft Office suite - Word, PowerPoint, Excel, and Outlook calendar is a must
*Highly professional in all conduct and communication
oAbility to handle confidential matters with integrity
oAbility to be highly organized office base and personal time management
*Team player - an ability to collaborate at all levels throughout the organization
*Positive attitude
*Problem solving skills/resourcefulness
EDUCATION:
AA or College degree or equivalent experience preferred

TRAVEL:
Occasional travel. This position is primarily local to the assigned Branch office. Some out-of-area and overnight travel may be expected for training or meetings.
