Job Description
Provides comprehensive administrative support to the Three Rivers Program Management Office. Administrative Assistant includes coordinating meetings and events, managing data, delivering training, and preparing documents, spreadsheets, and presentations. The ideal Administrative Assistant candidate demonstrates strong attention to detail and excellent communication skills.

RESPONSIBILITIES
- Track, analyze, and report data accurately and in a timely manner, communicating results effectively.
- Assist with the timely processing of vendor invoices.
- Maintain and update multiple Excel trackers.
- Support field personnel by providing information and connecting them with appropriate back-office departments.
- Generate Costpoint requisitions and serve as a Subject Matter Expert on Costpoint Requisitioning and Receiving, providing training to field personnel as needed.
- Support onboarding for the program management team, guiding new hires through the process.
- Schedule medical appointments for all new hires.
- Review and process clearance paperwork for program submission.
- Perform other duties as assigned.
WORKING CONDITIONS
- In-person office environment with frequent interruptions.
- Standard business hours: Monday–Friday, 8:00 am–5:00 pm.
PHYSICAL REQUIREMENTS
- May lift and carry items up to 25 lbs.
- Intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday.
QUALIFICATIONS
- High school diploma or equivalent.
- At least 2 years of experience providing administrative or program support in a professional office environment.
- 1 year of experience maintaining accurate records, trackers, or databases, including data entry, updates, and reporting.
- Experience supporting multiple tasks or requests simultaneously while meeting deadlines.
- Able to work independently and collaboratively within a team.
- Eager to research, learn independently, and master new systems.
- Strong written and verbal communication skills sufficient to interact with internal teams and provide clear instructions or status updates.
- Ability to follow defined workflows and standard operating procedures with a high level of accuracy.
- Ability to handle sensitive or confidential information in accordance with company and program requirements.
- Security Clearance strongly preferred.
- Proficient in Microsoft Excel, Word, and PowerPoint at an intermediate level.
