Advanced Medical Transport (AMT) is the premier provider of emergency and scheduled ambulance services in Central and Western Illinois, as well as parts of Iowa. AMT is a private, not-for-profit organization operated for community benefit.
The Administrative Assistant will operate in a supportive role to the Executive Assistant and the AMT Leadership team. The position serves as a critical hub in coordination between leadership, operations, fleet services, finance, billing, and other vital departments. Our ideal candidate will bring a positive and professional nature in a rapidly changing environment and is comfortable juggling multiple priorities and demands. This is a full-time, in office role.
Core Job Functions
- Welcomes and greets all on-site visitors for our Leadership team.
- Supports the Executive Assistant and Leadership team with daily clerical tasks that include answering phone calls, scheduling appointments, updating calendars, greeting visitors for appointments with Leadership, handling mail, and ordering office supplies.
- Assist with conference room scheduling.
- Maintains calendars as requested, schedules meetings, arranges appointments, brings pertinent dates to attention of leaders, provides necessary documents for use in scheduled meetings (agendas/presentations), and attends meetings as requested to take minutes.
- Prepares basic reports, charts, budgets, and other presentation materials.
- Responds to routine inquiries from internal and external sources.

QualificationsRequired Qualifications- Minimum of 18 years of age
- Associate’s Degree
- 2 years of proven experience in an operational or administrative role
- Strong organizational skills, attention to detail, ability to problem-solve, and function professionally in a fast-paced and dynamic environment
Knowledge, Skills, and Abilities
- Excellent customer service and communication skills
- Ability to handle confidential and sensitive information with discretion
- Proficiency with the use of Microsoft Office Suite (Excel, Outlook, Word, PowerPoint, Teams), Microsoft 365 (OneDrive and SharePoint)
- Ability to follow instructions and work with minimal supervision
