POSITION SUMMARY
The Administrative Assistant supports the mission of Center for Human Services (CHS) by providing administrative and coordination support to the Senior Services Department, with a primary focus on the Medicaid Reassessment Program. This position plays a critical role in supporting reassessment operations by managing scheduling, coordinating assessment lists, responding to inquiries, maintaining documentation, and supporting reassessors and leadership to ensure timely, accurate, and compliant service delivery.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provides administrative and coordination support to the Senior Services team by managing reassessment lists, tracking assignment status, and assisting with the coordination of reassessment workflows.
- Coordinates participant-outreach and scheduling activities, including outbound and inbound calls related to reassessment appointments, rescheduling, and follow-up communication.
- Serves as an initial point of contact for reassessment-related phone calls and inquiries, routing issues appropriately and escalating concerns to reassessors or leadership as needed.
- Maintains accurate documentation and records related to reassessment scheduling, completion status, and required forms in internal systems, databases, and tracking tools.
- Assists with document management by organizing, filing, and distributing reassessment-related documentation to appropriate internal systems and staff.
- Supports quality assurance efforts by tracking required documentation, signatures, and completion timelines to ensure compliance with program requirements.
- Provides administrative support to Senior Services leadership, including assisting with reports, tracking metrics, and supporting coordination needs as reassessment volume scales.
- Maintains office supplies and administrative materials in accordance with CHS approval processes.
- Demonstrates a professional, positive, and respectful demeanor when interacting with participants, families, reassessors, leadership, and other stakeholders.
- Accepts and carries out special projects or duties related to Senior Services operations as assigned.
- Other duties as assigned.

QUALIFICATIONS
REQUIRED EDUCATION and EXPERIENCE
- High school diploma or equivalent required
- Two (2) years of administrative, scheduling, customer service, or coordination experience preferred
- Associate degree or coursework in a related field may substitute for one year of experience
