Primary Duties and Responsibilities

The Department of Medicine is seeking a highly organized and proactive Administrative Assistant 2 to support the Pulmonary and Critical Care Division. In this role, you will provide comprehensive administrative support to ensure the efficient coordination of clinical, academic, and operational activities within a fast-paced environment. You will serve as a key point of contact, triaging incoming communications, coordinating conferences and meetings, and supporting divisional leadership, including the Clinical Chief and Section Chiefs.

Responsibilities include managing logistics for seminars, symposia, and laboratory meetings; coordinating physician pager assignments; assisting with fellowship program activities such as lecturer scheduling and curriculum preparation; supporting weekly committee meetings through medical record coordination; and handling daily administrative operations including mail distribution, document delivery, and calendar management. The ideal candidate is detail-oriented, adaptable, and able to manage multiple priorities while contributing to a collaborative and mission-driven team.

Hourly range: $26.42-$37.49


Job Qualifications

Required:

  • Ability to prioritize and organize projects through multiple phases. Ability to meet deadlines and follow through on multiple tasks simultaneously with careful attention to detail.
  • Skill in working as part of a team, collaborating with colleagues, and ability to establish and maintain cooperative working relationships with faculty, staff and administrators.
  • Ability to use good judgment when dealing with confidential or sensitive information
  • Oral and written communication skills to obtain and convey information clearly, concisely, and accurately.
  • Ability to observe established office policies and procedures.
  • Knowledge in MS Access, Word, Excel, Power Point, Outlook.
  • Ability to handle confidential materials and information with discretion
  • Reading skills to comprehend University policy and procedures manuals.
  • Skill in working independently and following through on assignments with minimal directions.
  • Ability to establish and maintain rapport with University faculty and staff, as well as with people from Non-University entities, to effectively and efficiently solve problems.
  • Demonstrated ability to type correspondence and forms with speed and accuracy.
  • Ability to adhere to established attendance and punctuality rules.
  • 6 months - 1 year office experience, preferably in an academic institution
  • High School diploma and or equivalent combination of education & experience

Preferred:

  • Working knowledge of University forms and procedures.
  • Experience setting up AV equipment, Go to Meeting, etc.
