The Department of Transportation and Public Facilities (DOT&PF), Northern Region Construction & CIP Support, is looking for a Administrative Assistant 1 to help us Keep Alaska Moving!

What you will be doing:

In this role, you will provide essential administrative and financial support that keeps Northern Region Design & Construction projects, people, and daily operations moving forward. You will coordinate travel, process payroll and invoices, manage purchases, files, and purchasing card transactions, and support project needs. You will review financial information, resolve discrepancies, process supply requests in IRIS, and help employees and the public find the information and resources they need. This is a dynamic role where your organization, attention to detail, and problem-solving skills directly contribute to the success of the team and the projects that keep Alaska moving.

The Department of Transportation and Public Facilities’ Northern Region administrative team supports the people who design, build, and maintain the infrastructure that keeps Alaska moving. As part of the Design & Construction administrative team, your work will help managers and staff handle day-to-day administrative needs and keep projects and operations running smoothly.

The working environment you can expect:

This position works at DOT&PFs centrally located Peger Road complex in Fairbanks alongside design, construction, maintenance, and support teams. The complex offers ample parking, pleasant walking areas for getting outside during breaks and several buildings within easy walking distance including a coffee shop across the street. This is a collaborative workplace where people learn from one another by sharing their knowledge of the different types of specialized work performed throughout the organization

Examples of duties

Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.

OR

Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)

Special Note:

Examples of advanced clerical experience include:

-Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.

-Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).
