The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose

The Administrative Assistant 1 provides secretarial, administrative, logistics, and financial support within the WatHab department in the ILOT Delegation, occasionally participating in field trips as needed to support operational activities.

The position focuses on both activities with the Coordination team and the team implementing projects in the West Bank

The position is a half-time – 4h per day from Sunday to Thursday

Accountabilities & functional responsibilities

  • Preparing meeting rooms and technical setups for conferences, presentations, and video calls.
  • Assisting with document preparation (letters, MoM) and translation services for national-level meetings.
  • Managing filing and archiving of documents, both digital and physical, in coordination with IM.
  • Carrying out secretarial tasks such as photocopying, document destruction, and managing office supplies.
  • Contributing to the creation and enforcement of procedures and supporting training and briefings for team members.
  • Organizing field trips, seminars, workshops, and welcome packages for incoming delegates.
  • Ensuring the WatHab Absence sheet is updated and supporting DTP implementation with logistics and finance.
  • Assisting with planning activities in collaboration with support departments.
  • For the West Bank team, under the Operations Manager’s supervision:
  • Ensuring data quality in the WatHab Project Management tool (PAM).
  • Managing documents related to Partnership Agreements, payment tracking, and guarantees.
  • Assisting with document preparation and follow-up on payments.
  • Supporting the organization of seminars and workshops, and ensuring DTP reconciliation.

Desired profile and skills

Certification/ Education required:

  • High school diploma or equivalent training.
  • Excellent command of English, Arabic, Hebrew, and other languages is an asset.
  • Computer skills, including Microsoft Office suite and SharePoint.

Professional Experience required:

  • One year of experience in a secretarial position is considered an asset.
  • Experience working in the humanitarian field is considered an asset.
