Position Summary

The Front Office Administrative Assistant serves as the first point of contact for clients, agents, visitors, and business partners while supporting the daily operations of a busy insurance agency. This role is responsible for managing front office activities, providing administrative support to agency leadership and sales agents, coordinating office operations, processing applications, and assisting with event and training logistics.

The ideal candidate is highly organized, customer-focused, detail-oriented, and comfortable managing multiple responsibilities in a fast-paced environment.

Primary Responsibilities

Front Office & Reception

· Greet clients, visitors, agents, and team members in a friendly, professional manner

· Answer, screen, and direct incoming calls, including assisting Medicare clients and agents

· Serve as the primary front-office contact and create a welcoming office environment

· Schedule and coordinate conference rooms, appointments, and meeting logistics

· Open and close the office as needed

· Manage office supplies, equipment, and inventory

· Order, maintain, and organize marketing and sales materials from multiple insurance carriers

· Receive, sort, and distribute mail, packages, deliveries, and correspondence

· Perform light office errands and administrative tasks as needed

Administrative Support

· Provide administrative support to the Agency Director, sales agents, and office staff

· Collect, review, monitor, and process enrollment applications and related documentation

· Conduct data entry, reporting, and record maintenance using Microsoft Office applications and internal CRM systems

· Prepare, edit, print, and distribute compliant marketing, training, and sales materials

· Utilize Outlook, Teams, RingCentral, and other business systems for communication and coordination

· Assist with scheduling, planning, and execution of sales meetings, training sessions, and community events

· Support office operations through special projects and additional duties as assigned

Operational & Financial Support

· Maintain accurate records and ensure timely document processing

· Assist with vendor invoice tracking and basic accounting-related administrative tasks

· Respond to commission inquiries and routing requests as appropriate

· Support reporting and compliance-related administrative processes

Required Qualifications

· High School Diploma or equivalent

· 2 - 4 years of receptionist, front office, customer service, or administrative support experience

· Strong customer service and communication skills, both verbal and written

· Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams

· Strong organizational skills with the ability to manage multiple priorities and deadlines

· Demonstrated attention to detail and accuracy

· Professional demeanor, positive attitude, and strong interpersonal skills

· Ability to work independently and adapt to changing business demands

· Reliable transportation

· Ability to lift up to 20 pounds as needed

Preferred Qualifications

· Experience in Medicare, health insurance, or a regulated industry

· Experience using CRM systems and business communication platforms such as RingCentral

· Experience supporting sales teams, events, or training programs

Compensation

The general pay range for this position is $24.00 - $27.00 per hour. Compensation will be determined based on factors including relevant experience, skills, education, certifications, and insurance licensing status.
