Administrative
and Finance Site Officer
JOB PURPOSE:
The Administrative and Finance Site Officer is responsible
for overseeing the administrative and financial operations at the construction
site. This role ensures smooth site operations by managing documentation,
financial records, procurement processes, and supporting communication between
the site and main office. The officer will work closely with project teams,
vendors, and contractors to ensure compliance with company policies and
regulatory requirements.
JOB RESPONSIBILITIES:
Administrative Duties:
Manage
day-to-day administrative tasks on-site including documentation,
correspondence, and filing.
Maintain
accurate records of site activities, including attendance, work schedules,
and site reports.
Coordinate
communication between site staff, suppliers, subcontractors, and main
office.
Organize
and schedule meetings, site inspections, and ensure timely follow-up on
action items.
Handle
site logistics such as arranging transport, accommodation, and site
facilities management to maintain a productive and well-functioning work
environment.
Ensure
compliance with company policies, safety regulations, and government
guidelines related to site administration.
Support
HR functions on-site including recruitment coordination, induction, and
staff welfare.
Financial Duties
Maintain accurate financial
records including petty cash, invoices, purchase orders, and expense
reports.
Track
and report on site expenditures, ensuring proper documentation for audit
purposes.
Support
procurement processes by preparing purchase requests, following up
with vendors, and verifying delivery of materials.
Assist
in the preparation and monitoring of the site budget and cost control
measures, notably for T06X (erection), T07X (commissioning) and T08X (site
costs).
Gradual involvement in the preparation of
Monthly Project Updates and Actual meetings.
