Administrative and Communication Coordinator-(26003464)

The Barbara and Richard Csomay Center for Gerontological Excellence (Csomay Center) at the College of Nursing seeks a 70-100% Administrative and Communications Coordinator. Position is specified term through June 30, 2027, with the potential for extension pending funding availability. This in person position will serve the Csomay Center by providing a wide range of operational, administrative, and communications support duties. This position requires an individual who is self-directed and is able to develop and maintain positive working relationships.

Key Areas of Responsibility:

Operational Support and Management

  • Serve as a resource for Center members, including students, faculty, staff, and the public.
  • Coordinate and schedule Center meetings, arranging meeting space and virtual links.
  • Prepare meeting agendas and compose and disseminate meeting minutes and agenda as needed.

Human Resources

  • Assist with onboarding of student employees, including the use of office equipment, classroom equipment, and other available services/resources.

Financial Responsibility

  • Initiate purchasing requests in university systems as requested.
  • Ensure invoices are processed, reconciled, and billed accurately and in a timely manner.

Information Management

  • Serve as the primary contact for Csomay Center scheduling, maintain calendars, and support responding to routine inquiries, tasks, and procedures.
  • Identify, create, review, and circulate relevant information to CON faculty, staff, and Center members.

Communications & Marketing

  • Compose and edit correspondence requiring discretion and judgment.
  • Circulate appropriate information relevant to the Center and its mission.
  • Maintain effective working relationships with faculty, staff, students, and the public.
  • Manage and maintain the Center’s social media presence by overseeing strategy creating content, and sharing relevant scholarly and clinical information.

Qualifications

Required Qualifications:

  • Bachelor's degree or an equivalent combination of education and experience.
  • Typically, six months or more of professional administrative office experience including working in a public contact setting which includes in-person, email, and phone contact.
  • Typically, one or more years of experience in marketing and communications.
  • Proficiency in Microsoft Office, including Excel, PowerPoint, Word, and Outlook.
  • Strong attention to detail.
  • Ability to meet tight deadlines.
  • Strong written and verbal communication skills, and interpersonal skills; demonstrated by the ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors to provide excellent customer service and maintain working relationships.
  • Ability to balance multiple competing priorities.

Desired Qualifications:

  • Demonstrated experience using Adobe products, and products such as Canva, Salesforce, Constant Contact, or Adobe Creative Suite.
  • Working knowledge of Microsoft Teams.
  • Familiarity with camera and audio equipment
  • Working knowledge of issues and challenges experienced by older people in the US and their family caregivers.
