WHO WE ARE LOOKING FOR
We are seeking a detail-oriented and highly organized Administrative Aide to provide clerical and administrative support to the Facilities Program Manager and the Director’s Office. This position plays a key role in supporting Planned Life Asset Replacements (PLAR) and the Capital Improvement Program (CIP), ensuring smooth daily operations, accurate documentation, and timely coordination with vendors and internal teams. This role requires occasional evening and weekend work.

Key Responsibilities
• Tracking invoices, service calls, and purchase orders using spreadsheets
• Creating and managing documents using Microsoft Word and Excel
• Filing and organizing physical and digital documents
• Organize meeting agendas, supplies, and room setups for long-range planning meetings, PLAR meetings, and CIP meetings
• Clean up and restore meeting spaces after each session
• Organize, maintain, and track building plans and related documentation by filing and storing materials appropriately.
• Perform general clerical tasks such as sorting, filing, shredding, and organizing records
• Record progress notes during Capital Improvement Project meetings.
• Updating PLAR databases, spreadsheets, and tracking tools
• Prepare facilities resource documents and maintain accurate records
• Organize and track Facility Emergency Action Reports (FEAP's)
• Maintain and distribute Emergency Management resources.
• Performing other related duties as assigned
