Relationship Matters also delivers a family violence program and provides Employee Assistance Programs, training and consultancy to workplaces.

About the role

We are seeking an organised, empathetic and detail-focused Program Administration Officer to provide administrative and operational support to our Relationship and Parenting Groups program.

Working closely with the Program Coordinator, practitioners, group facilitators and Client Service Officers, you will coordinate program logistics, maintain accurate client and program data, respond to enquiries and support the reliable delivery of safe and responsive services.

Key Responsibilities

  • Provide day-to-day administrative and coordination support to the program.
  • Respond to client, staff and third-party enquiries professionally and sensitively.
  • Support intake, enrolment and group coordination processes.
  • Send appointment and program reminders and respond to service delivery enquiries.
  • Coordinate rooms, virtual meetings, program resources and other logistics.
  • Maintain secure and organised electronic and physical records.
  • Track attendance, enrolments, enquiries, waitlists, transfers and program capacity.
  • Prepare data summaries and assist with internal and external reporting.
  • Support the collection and administration of participant feedback and program evaluation data.
  • Take meeting minutes and monitor agreed follow-up actions.
  • Liaise with external agencies and maintain positive stakeholder relationships.

About you

  • Demonstrated experience in administration or program coordination, preferably within community services, the not-for-profit sector or a related human services environment.
  • Strong organisational and time-management skills.
  • The ability to manage competing priorities, maintain accuracy and meet deadlines.
  • Strong interpersonal and written communication skills.
  • The ability to communicate sensitively with clients, colleagues and external stakeholders.
  • Experience in data entry, recordkeeping and reporting.
  • Advanced skills in Microsoft Office and confidence learning client management systems and databases.
  • The ability to work collaboratively within a multidisciplinary team while also working independently and taking initiative.
  • An understanding of trauma-informed and culturally safe practices, or a willingness to develop this knowledge.
  • A high level of discretion and commitment to privacy and confidentiality.
