Help create a space where young people feel supported from the moment they walk in.

Are you passionate about supporting young people and thrive in a fast-paced, people-focused environment? If you have experience in medical or health administration and enjoy creating welcoming, well-run spaces – we’d love to hear from you.

At headspace Dandenong, we’re all about making a difference in the lives of young people aged 12–25. Our centre is a vibrant, inclusive, and safe space where young people can access support for their physical and mental health, alcohol and other drugs, and work and study needs. We’re looking for someone who shares our passion and can bring warmth, professionalism, and a sense of fun to our front desk.

Your role, your impact

As our Administration Officer, you’ll be the first point of contact for young people and families – setting the tone for a safe, inclusive, and supportive experience.

You’ll play a key role in keeping our Youth Health Clinic and centre running smoothly, supporting clinicians and ensuring every visit is efficient, professional, and approachable.

Key responsibilities:

  • Manage reception and medical administration for the Youth Health Clinic, including client arrivals, Medicare details, and appointment bookings
  • Own the first point of contact experience – greeting visitors, answering calls, and responding to queries with warmth and professionalism
  • Create and maintain accurate medical records and client data in our systems
  • Support clinicians, GPs, and nurses with a range of administrative tasks
  • Coordinate room bookings and keep communal spaces welcoming and organised
  • Assist with onboarding and training new staff in admin procedures and systems
  • Demonstrate initiative by seeking guidance and clarifying processes when needed

Who we’re looking for

You’ll thrive in this role if you:

  • Have at least two years’ experience in an administrative role, ideally within a health or youth-focused setting
  • Enjoy working with young people and creating positive experiences – demonstrated through your ability to connect and communicate with them
  • Have exceptional customer service and communication skills, with a professional and empathetic approach
  • Are organised, detail-focused, and confident managing competing priorities
  • Learn new systems quickly and are confident with Microsoft Office

What will make you stand out

  • Experience working in a youth health or community setting
  • Experience supporting multidisciplinary teams
