About the role

We are seeking an organised and proactive Administration Officer to join our team at Spiecapag’s Toowoomba Plant Yard. This varied role will provide day-to-day administrative support to the yard, while also assisting with procurement administration activities.

Working closely with operational, procurement, finance and project teams, you will help keep administrative processes running smoothly and ensure purchasing records and documentation are accurate and up to date. The position is based at our Toowoomba Plant Yard and may be offered on either a full-time or part-time basis, depending on the successful candidate’s availability.

Key responsibilities

  • Provide general administrative support to the Toowoomba Plant Yard.
  • Assist with procurement requests, purchase orders and approval workflows.
  • Maintain accurate procurement documentation, registers, supplier records and filing systems.
  • Liaise with suppliers and internal stakeholders regarding quotations, orders, deliveries and administrative requirements.
  • Coordinate and maintain records of purchase orders, delivery dockets, invoices and supplier correspondence.
  • Work with Procurement and Accounts Payable to resolve documentation or invoice queries.
  • Assist with data entry, reporting, document preparation and other ad hoc administration duties as required.

About you

  • Previous experience in administration, procurement administration, purchasing, accounts support or a similar role.
  • Strong organisational skills and the ability to manage competing priorities.
  • Excellent attention to detail and confidence maintaining accurate records and documentation.
  • Clear communication skills and the ability to build positive working relationships with colleagues and suppliers.
  • Proficiency in Microsoft Office, particularly Excel, Word and Outlook.
  • Experience using ERP, purchasing or finance systems will be highly regarded.
  • Experience within construction, infrastructure, engineering, manufacturing, mining, oil and gas, or a related industry will be advantageous but is not essential.
  • A proactive, flexible and team-focused approach, with a willingness to assist across a range of administrative tasks.
