Job Description

  • Part-time (0.8FTE), ongoing opportunity
  • Based in Ringwood, on the lands of the Wurundjeri People
  • $43.73 per hour + 12% Super + Generous Salary Packaging benefits of up to $18,550

Make your days more meaningful

As a key member of our administration team, you'll provide vital support across Clinical and Complex Care Services, working closely with nurses, GPs and allied health professionals to ensure customers can access high-quality care. Through exceptional customer service, referral and appointment management, administration support and billing activities, you'll help create a seamless experience for customers and staff alike.

Your role, your impact

In this role, you'll be the backbone of our service delivery, helping customers access essential health services while supporting clinicians and program staff to deliver outstanding care. You'll bring organisation, attention to detail and a customer-centred approach to a busy and rewarding environment.

  • Provide high-quality administrative support across Clinical and Complex Care Services programs
  • Manage customer appointments, referrals and clinician schedules to support efficient service delivery
  • Support customer onboarding, service agreements, correspondence and waiting list management
  • Respond to internal and external enquiries in a professional, timely and customer-focused manner
  • Assist with MBS billing processes and administration support for GP services
  • Create and maintain reports, meeting minutes, presentations and other program documentation
  • Support organisational, funding and legislative compliance reporting requirements
  • Coordinate project administration, logistics and tracking of actions and deliverables
  • Build positive working relationships with customers, clinicians and key stakeholders
  • Contribute to a person-centred, inclusive and welcoming experience for all customers accessing our services

Who we're looking for

We're looking for someone who is organised, proactive and passionate about delivering excellent customer service.

  • Experience working in an administrative, reception or office support role
  • Well-developed administrative, organisational and time management skills
  • Strong customer service skills with a professional, approachable manner
  • Confidence using Microsoft Office Suite applications
  • Experience using design and publishing tools such as Canva or similar
  • Excellent written and verbal communication skills
  • Ability to prioritise work, problem solve and manage competing demands
  • Strong attention to detail and ability to work accurately in a busy environment
  • Ability to work both independently and collaboratively within a team
  • Emotional intelligence, resilience and a positive attitude
  • Current driver's licence

What will make you stand out

  • Experience working in a medical administration or healthcare reception role
  • Experience supporting GP, nursing or allied health services
  • Experience using electronic medical record systems, particularly Best Practice
  • Experience working with culturally and linguistically diverse communities
  • Knowledge of healthcare services and customer-centred care
  • Understanding of the not-for-profit sector
