We are seeking a highly organised and customer-focused Administration Officer to join our team on a 12-month fixed-term contract. About the Role

As the Administration Officer, you will play a key role in ensuring the smooth day-to-day operation of our office while delivering outstanding customer service to a diverse range of stakeholders. You will be responsible for reception duties, administrative support, scheduling, communication coordination, and maintaining efficient office systems across our offices in Bridgewater and New Norfolk.

You will demonstrate a professional, collaborative and compassionate approach in all interactions, reflecting the values and mission of Loreto Community Housing.

Key Responsibilities

    Customer Service & Stakeholder Engagement

    • Deliver outstanding customer service through timely, accurate and professional communication.
    • Respond constructively to enquiries, concerns and requests from clients, tenants, visitors and stakeholders.
    • Build and maintain positive relationships with internal and external stakeholders.
    • Represent Loreto Community Housing in a professional and respectful manner at all times.
    • Handle sensitive information with discretion and maintain strict confidentiality.

    Reception & Office Administration

    • Welcome and assist visitors, ensuring a positive and professional first impression.
    • Manage incoming telephone calls, directing enquiries and taking messages as required.
    • Coordinate appointments, meetings and room bookings.
    • Receive, sort and distribute incoming mail, deliveries and correspondence.
    • Maintain office filing systems and records, both electronic and hard copy.
    • Assist with data entry, document preparation, scanning and general administrative tasks.
    • Monitor and order office supplies to ensure smooth office operations.

    Communication & Team Support

    • Prepare clear, accurate and professional written communications.
    • Attend and contribute to team meetings, training sessions and organisational events.
    • Work collaboratively with colleagues and respond appropriately to management direction.
    • Support a positive, respectful and productive workplace culture.

    Selection Criteria

  1. Commitment to the vision, purpose and values of Loreto Community Housing and a broad understanding of the operation of the Catholic Church in Tasmania.
  2. Proven experience performing a broad range of administrative, reception and clerical duties in a busy office environment, including data entry, document management, scheduling appointments, maintaining records and coordinating office systems.
  3. Well-developed interpersonal, written and verbal communication skills, with the ability to provide professional, timely and accurate responses to enquiries, concerns and requests while building positive relationships with diverse stakeholders.
  4. Demonstrated ability to effectively manage competing priorities, work independently, meet deadlines and maintain a high level of accuracy and attention to detail in a fast-paced environment.
  5. Competent user of Microsoft Office Suite and other business information systems, with the ability to quickly learn new software, maintain electronic records and utilise digital platforms to support service delivery.
  6. Proven capacity to handle sensitive and confidential information appropriately, demonstrating sound judgement, professionalism and a commitment to privacy and ethical practice.
  7. Demonstrated ability to work collaboratively within a team environment, contribute positively to workplace culture, follow direction from management and uphold the Vision, Purpose and Values of Loreto Community Housing.

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.
