The opportunity

As the Administration Officer, you will provide high-quality administrative, operational, and project support to enable the effective delivery of CSIRO’s research programs. You will contribute to the smooth functioning of the Discovery Research Program by supporting project execution, financial processes, stakeholder coordination, and compliance within CSIRO’s governance frameworks.

You will play a critical enabling role in delivering science and innovation aligned with CSIRO’s strategic priorities and impact pathways.

Your high-level duties will include:

  • Administrative and Operational Support
    • Provide professional administrative support to research leaders and teams, including coordinating meetings, workshops, travel, and field logistics. Prepare agendas, minutes, briefings, and follow-up actions, and maintain accurate records in corporate systems (e.g. Objective, SAP, CRM tools).
  • Project and Program Coordination Support
  • Support the Program leadership and project leads in the establishment and administration of research projects, including tracking milestones, deliverables, and reporting requirements, and assisting with the preparation and maintenance of project documentation (e.g. proposals, reports, reviews).
  • Financial and Procurement Management
    • Undertake financial and procurement tasks including raising purchase orders, processing invoices, and managing expense claims in SAP. Support budget tracking, cost allocation, financial reporting, and ensure compliance with procurement policies and audit requirements.
  • Governance, Compliance, and Data Management
    • Ensure adherence to CSIRO policies, procedures, and legislative requirements. Maintain documentation for audits, contracts, safety, and ethics, support risk management processes, and manage accurate data and reporting to meet organisational and external requirements.
  • Stakeholder Engagement, People Support, Events, and Continuous Improvement
    • Act as a coordination point between research staff, corporate services, and external partners. Support onboarding, recruitment, training, and team coordination. Organise events and engagement activities, while identifying opportunities to improve administrative processes, systems, and workflows.

Role particulars

Location and office arrangements: Kensington, Perth

Salary: AU$76k – AU$96k per annum (pro rata for part-time), plus 15.4% superannuation

Tenure & work schedule: Indefinite, full time

As the successful candidate, you will bring:

Essential

  • Demonstrated experience in an administrative support role
  • Strong organisational skills and ability to manage competing priorities
  • High attention to detail and accuracy, particularly in financial and project tracking
  • Experience with financial processes and enterprise systems (e.g., SAP or similar)
  • Excellent written and verbal communication skills
  • Proven ability to work collaboratively across multidisciplinary teams

Desirable

  • Experience within a research, scientific, or government organisation
  • Experience supporting multi-partner programs or portfolios
