Allied Universal® is hiring a Manager, Administration. The Administration Manager will strengthen administrative governance and manage access control, workforce compliance, asset accountability, program communications, and operational coordination across the Global Security Program while ensuring alignment with customer and Allied Universal standards and expectations.
RESPONSIBILITIES:
Access Control and Badging
- Oversee all employee badging, credentialing, and access authorization processes
- Ensure badge issuance, modifications, and access requests comply with security standards and requirements
- Resolve access control issues and coordinate corrective actions with stakeholders, security personnel, and site contacts
- Serve as the central point of contact for access-related requests and escalations across all customer locations
Compliance and Workforce Management Systems
- Manage and ensure compliance with all required workforce management systems, including Fieldglass, CREFS, and SAMS
- Monitor onboarding, training, workforce records, and personnel compliance requirements
- Ensure accurate data management and reporting within required customer and Allied Universal systems
- Support audits, compliance reviews, and corrective action initiatives related to workforce administration
Asset Management
- Maintain accountability and oversight of all customer-issued assets assigned to Allied Universal personnel, including laptops, computers, mobile phones, and related technology
- Track asset assignments, inventory records, returns, replacements, and compliance requirements
- Coordinate with operations and client stakeholders to ensure proper stewardship and accountability of client-issued equipment
Fleet Administration
- Manage administrative oversight of all Allied Universal vehicles assigned to customer locations
- Ensure vehicle registrations, inspections, maintenance records, inventories, and compliance documentation remain current
- Monitor utilization and accountability of fleet assets supporting the client’s security program
Program Communications and Coordination
- Serve as a liaison between Allied Universal leadership, regional offices, and stakeholders regarding administrative and operational support requirements
- Coordinate communications with all customer sites related to access control requests, workforce administration, compliance requirements, and program initiatives
- Enhance communication flow between field personnel, regional leadership, and corporate support functions
- Assist with operational escalations by ensuring issues are routed through appropriate communication and resolution pathways
Reporting and Administrative Support
- Produce and maintain reports related to workforce compliance, access control administration, asset management, and operational support metrics
- Support internal and client audits through accurate recordkeeping and documentation management
- Identify opportunities for process improvement, operational efficiency, and enhanced program compliance
QUALIFICATIONS (MUST HAVE):
- High School diploma or equivalent
- Minimum of two (2) years of supervisory, management, or administrative experience in the security industry
- Demonstrated experience supporting daily security operations, maintaining personnel records, coordinating schedules, preparing reports, processing payroll or timekeeping documentation, and ensuring compliance with company policies and client requirements
- Experience working with Microsoft Office (Word, Excel, Outlook), maintaining accurate documentation, communicating with employees and clients, and providing administrative support in a dynamic environment

PREFERRED QUALIFICATIONS (NICE TO HAVE):
- Associate's degree or coursework in business administration, criminal justice, security management, or a related field
