At Sunshine Coast Haematology and Oncology Clinic (SCHOC), we are a well-established, patient-focused centre committed to delivering compassionate, high-quality care in a supportive and patient-centred environment. We are seeking a dedicated Administration Manager to lead and support our medical administration team in Buderim.

This is a permanent part-time opportunity (0.8 FTE / 4 days per week, negotiable) and represents an exciting chance to step into a pivotal leadership role within a specialist clinical environment. Reporting to the Centre Manager, you will be responsible for the day-to-day running of our administration function, while leading and supporting a dedicated team of Medical Receptionists. You will play a key role in ensuring smooth patient flow, high-quality service delivery, and a positive team culture.

What’s Involved

As Admin Manager, you will oversee the smooth running of our administration operations, including:

  • Oversee daily administrative operations including reception, scheduling, and patient accounts
  • Lead, support, and develop a team of Medical Receptionists, fostering a collaborative and high-performing environment
  • Prepare and manage staff rosters to ensure adequate coverage across the week
  • Support recruitment, onboarding, and ongoing training of administration staff
  • Oversee billing processes (Medicare, DVA, private health) ensuring accuracy and efficiency.
  • Manage patient queries, escalations, and complaints with professionalism and care
  • Monitor workflows and identify opportunities to improve efficiency and patient experience
  • Partner with the Centre Manager on reporting, operations, and continuous improvements
  • Ensure compliance with healthcare regulations and internal policies

Who You Are

  • Healthcare administration professional with demonstrated leadership experience
  • Empathetic, patient-focused, and supportive in every interaction.
  • A confident people manager who can build, support, and develop a high-performing team
  • Highly organised, with the ability to manage competing priorities in a busy clinical setting
  • Strong communicator, comfortable working with clinicians, staff, and external stakeholders
  • Solutions-focused, with the ability to identify issues and implement practical improvement
  • Familiarity with Medicare and private health processes is desirable.

What You Bring

  • Previous experience in an administration management or supervisory role within a medical or specialist practice
  • Strong knowledge of medical billing, including Medicare and private health processes
  • Experience with rostering, workflow coordination, and team management
  • High attention to detail in data entry, reporting, and patient record management
  • Experience with practice management systems (oncology or specialist systems advantageous)
  • Exposure to clinical trials administration (highly regarded)
