Job Summary
Administrative Director
Responsible for directing and overseeing all aspects of the Department’s internal and external operations and administration, along with efficient management of the facilities, resources, and personnel of the department. Under the direction of the Chair of Department of Neurology, this position will contribute to strategic planning for the department, particularly as it relates to strategic use of resources to advance priority department initiatives. Work to improve processes and policies, manage administrative staff, and lead long term organizational planning.

Responsibilities
Director, Administration Management
Provide leadership and direction for the department/school/college, supporting all aspects of administrative, financial, and workforce operations, as well as strategic planning. Develop and implement initiatives to advance operational efficiencies and effectiveness. Manage budgets and resource allocation to optimize performance and support the organizational strategic priorities. Monitor key performance indicators, evaluate operational efficiency, and implement continuous improvement initiatives to ensure the organization’s success. Contribute to the development and execution of organization-wide strategies and goals. Partner with University HR to address workforce challenges and foster a positive work environment aligned with the university’s mission and values.
Requires a bachelor’s (or equivalency) + 12 years or a master’s (or equivalency) + 10 years of directly related work experience.

- Assist Department Chair, Vice Chairs, and Division Chiefs in implementing strategic planning for the Department’s endeavors and priorities
- Oversee administrative aspects of clinical, research, and educational missions for the department. Work closely with their academic counterpart (typically Vice Chair) tasked with each mission.
- Develop staff and build strong working relationships and teams within the Department of Neurology
- Responsible for financial planning and budgeting, to include the preparation of the annual departmental budget and related materials. Supports division, program, and project staff in their preparation and presentation of budget, financial, and operating data as requested by faculty such as Vice Chairs, Division Chiefs, Program Directors, and Principal Investigators
- Ensure effective financial expenditure and other internal controls and approvals
- Provide oversight and management of the departmental inventory (equipment, etc.) control process
- Represent, in collaboration with faculty counterpart, the Department in negotiations with University and non-University entities
- Lead and serve as a formal member or participate in the Department Executive Committees, University, Health Sciences, School of Medicine and Department committees, taskforces or other groups as assigned or otherwise appropriate
- Address other business reporting needs of the department administration for internal and external review purposes, inclusive of the:
- Department Chairman
- School of Medicine Dean’s Office
- Senior Vice President for Health Sciences
- University President’s Office
- Accrediting agencies, review groups, external funding sources, professional organizations, etc.
- Draft or otherwise prepare departmental reports, internal policies, correspondence, internal and external contracts, memoranda of understanding, and/or other documents related to the functions, annual budget, and operations of the Department, typically in collaboration with academic leadership involved with each departmental mission.
- Oversee all human resources, faculty affairs and administration, and regulatory compliance in the department and provide faculty and staff with guidance on policies and procedures
- Research laws, policies, departmental precedents or other documents necessary for appropriate responses to current events or issues
- Promote synergy and cooperation between the various administrative components of the Department, and between administration, faculty leadership, and faculty more broadly.
- Oversee all aspects of staff management including recruitment and retention of assigned staff
- Oversee the analysis and determination of appropriate staff mix to support department needs
- Approve and provide liaison with School of medicine and University on staff hiring, compensation, and employment action
- Directly and indirectly supervise, train, and mentor Neurology staff at Department, Division, program and project levels to enhance their capabilities to provide efficient and consistent processes and procedures throughout the department
- Ensure competency of unit management/supervisory staff through on-going staff performance evaluation
- Supervise and support Neurology Administration administrative staff
- Supervise and support Neurology Administration IT staff
- Market and promote new and existing programs and services to internal and external customers
- Facilitate cooperative and collaborative community and institutional relationships, typically in partnership with academic leadership
- Assist Chair with development activities including donor cultivation, campaign management, and other reporting
- Provide oversight and management of the departmental inventory (equipment, etc.) control process
- Coordinate Neurology facility, space and service needs, in collaboration with academic leadership, to facilitate changes, resolve problems, take advantage of opportunities and/or other issues
- Oversee and manage event planning for departmental events and initiatives

Minimum Qualifications
