The Administration & Event Coordinator plays a key role in independently planning, coordinating, and delivering large-scale project activities. The position focuses on managing project operations, stakeholder communication, and administrative processes to ensure smooth and effective implementation. Working closely with the Project Lead, the role requires a high level of autonomy, organisation, and stakeholder engagement to support project delivery, participant experience, and operational efficiency.

Reporting line: Project lead of the awarded RMIT SIC project “Empowering Educators with AI: A Nationwide Transformative Initiative for Vietnam” – Dr Linh Duc Tran

In direct report to: Project lead of the awarded RMIT SIC project “Developing an AI-integrated interactive e-learning platform for endoscopy training in Vietnam” – Dr Thuy Nguyen.

Key Accountabilities Summary

  • Independently coordinate the planning and delivery of key project activities (teacher training program, AI competition, and educational festival, supporting the implementation of a complex E-learning platform with multiple functionalities, integration of seven AI models, collaboration with multiple vendors, overseeing and monitoring nationwide training activities delivered by medical partners), ensuring alignment across internal teams and external stakeholders.
  • Support the Project Lead in stakeholder engagement, while proactively managing communication with partners and stakeholders throughout planning and delivery.
  • Plan and manage operational activities, including schedules, permits, transportation, logistics, and material preparation, to ensure smooth and efficient delivery.
  • Liaise and negotiate with internal and external stakeholders, vendors, and service providers to support project implementation.
  • Provide financial admin support including monitoring project budgets, tracking expenditures, supporting the accrual of expenses, and assisting in legal and financial procedures with funding agencies, university management, and relevant stakeholders.
  • Support the project lead(s) in terms of contract preparation, purchasing documentation, identification of, and negotiation with preferred service providers and vendors.
  • Monitor milestones’ timelines and progress, and follow up on action items, taking ownership of assigned deliverables to ensure timely execution.
  • Manage communication with partners and stakeholders across multiple platforms (e.g. Facebook, Teams, email), providing timely updates, guidance, and support to maintain engagement and satisfaction.
  • Identify operational issues and risks during planning and delivery and proactively resolve or escalate them as appropriate.
  • Support budget tracking and procurement processes, including monitoring expenses, maintaining financial records, and liaising with relevant teams in line with university policies.
  • Maintain accurate documentation and records, ensuring compliance with university requirements.
  • Undertake other duties as required by Project Lead

Key selection criteria

  • A relevant bachelor’s degree in business, communications, event management, or a related field.
  • At least three years of experience in a similar role.
  • Proven ability to coordinate events or activities, including logistics, scheduling, and stakeholder communication.
  • Strong organisational skills with the ability to work independently, manage multiple tasks, and meet deadlines.
  • Experience in liaising and communicating with diverse stakeholders, including cross-cultural contexts.
  • Demonstrated experience in managing communications across multiple platforms (e.g. email, social media, online systems)
  • Familiarity with basic financial and administrative processes, including budget tracking, procurement, and record keeping.
  • High level of attention to detail, with the ability to maintain accurate documentation and handle confidential information.
  • Experience in supporting large-scale activities or events is desirable.
  • Ability to display appropriate behaviors in line with the position, RMIT Values and RMIT Leadership Model.
