About the role:

Are you an organised and proactive administrator with strong finance skills? In this role, you’ll support the Finance & Administration Manager, Partners and wider team by coordinating finance, office management and general administrative functions to keep the office running smoothly.

You’ll assist with accounts payable and receivable, WIP and debtor management, trust account administration and corporate credit card allocations, while also overseeing office facilities, suppliers, archiving systems and reception cover. You’ll respond to day‑to‑day requests from the admin team, follow up timesheets and contribute to office projects and ad hoc tasks as required.

This is a varied, hands‑on role ideal for someone who enjoys working across finance and administration in a professional, fast‑paced environment.

Key Responsibilities

In this role you will:

Finance

  • Assist with Accounts Payable and Receivable
  • Assist with management of WIP and Debtors.
  • Disbursements and Inter Unit Charges.
  • Management of Trust Account
  • Allocation of corporate Visa charges.

Office Management

  • Manage any issues around building maintenance.
  • Ensure office is always organised and clean.
  • Negotiate with providers in relation to staff and office amenities.
  • Maintenance of the archiving system and retrieval and destruction of files.
  • Provide cover for reception
  • Undertake and participate in office related projects as directed by Finance & Admin Manager.

General Administration

  • Following up staff for posting of timesheets.
  • Respond to daily requests, queries or concerns of PA’s/Admin team; and
  • Assist with any duties that may arise on an ad hoc basis or as directed by the Finance & Admin Manager.

About you:

You are a professional, customer-focused administrator with a strong eye for detail and the ability to prioritise tasks effectively. You enjoy working both independently and collaboratively to support seamless office operations.

EDUCATION REQUIREMENTS:

Desirable

  • Certificate in Business Administration

DEMONSTRATED EXPERIENCE & ATTRIBUTES:

Essential

  • 5+ years in a similar role
  • Strong attention to detail
  • Technical knowledge of bookkeeping
  • Demonstrated ability to negotiate and influence stakeholders.
  • Effective interpersonal skills and the ability to work with and provide excellent customer service to a varied stakeholder audience.
  • Proven ability to work in an organised approach in order to ensure meeting strict deadlines.
  • Demonstrated team approach and the ability to work autonomously.
  • Demonstrated experience in a professional or corporate environment.
  • Excellent computer literacy
  • Previous experience dealing with data of a highly confidential nature.
  • The ability to be flexible with regard to role task, demands, timeframes.
