Administrative Assistant
Location: Distribution Center
Pay: $26.44 per hour
Schedule: Full-Time | Monday–Friday (Overtime and occasional weekends may be required)
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our 1 million-square-foot distribution center This role provides administrative support to warehouse leadership while helping ensure efficient communication, accurate documentation, and smooth day-to-day operations.
In addition to traditional administrative responsibilities, this position will assist the Inventory Control team during peak periods by performing inventory-related tasks, data entry, cycle count support, and reconciliation activities. The ideal candidate is adaptable, organized, and comfortable working in both an office and warehouse environment.
Key Responsibilities
- Provide administrative support to warehouse leadership and department managers.
- Answer phones, respond to emails, and greet visitors professionally.
- Prepare reports, spreadsheets, presentations, and correspondence.
- Maintain employee records, filing systems, and operational documentation.
- Schedule meetings, coordinate calendars, and assist with special projects.
- Process invoices, purchase requests, and other administrative paperwork.
- Enter and maintain accurate data in warehouse and company systems.
- Assist with inventory control activities, including cycle counts, inventory research, and reconciliation of discrepancies.
- Support inventory audits and help maintain accurate inventory records.
- Coordinate communication between Operations, Human Resources, Safety, Inventory Control, and other departments.
- Order and maintain office supplies and assist with general office organization.
- Support employee onboarding and other administrative functions as needed.
- Maintain confidentiality of company and employee information.
- Follow all company safety policies and procedures while working in both office and warehouse environments.
Qualifications
- High school diploma or GED required; associate degree preferred.
- Minimum of 2 years of administrative experience, preferably in a warehouse, distribution, manufacturing, or logistics environment.
- Experience supporting multiple managers in a fast-paced operation.
- Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Experience with Warehouse Management Systems (WMS), SAP, or ERP systems is preferred.
- Excellent organizational, time management, and multitasking skills.
- Strong attention to detail and data accuracy.
- Effective verbal and written communication skills.
- Ability to analyze information and solve problems independently.
- Comfortable working in both office and warehouse settings.
- Ability to walk the warehouse floor and assist with inventory projects when needed.
