Position: Full time Admin Assistant

We are seeking a reliable and experienced Admin Assistant to join our team on a full time basis, working between 8am and 6pm, Monday to Friday (7.6 hours per day). This is a fully onsite role based in our Hawthorn office. This role is perfect for someone with strong administrative skills and a commitment to providing excellent customer service, looking for a supportive team culture.

Key Responsibilities:

• Perform a range of administrative and office duties, including answering telephone queries, maintaining files, making appointments for injured workers with consultants, creating and managing files (both electronic and paper), handling funding requests, and assisting Consultants with report production.
• Schedule appointments for the team in line with our administration manual and service level agreements.
• Monitor and action emails.
• Provide excellent customer service to all stakeholders, ensuring a professional and helpful approach.

Requirements

What We're Looking For:

• Strong experience in office administration, including general front-office support, appointment scheduling, file management, and handling high-volume calls and emails.
• Excellent communication and customer service skills, with the ability to build relationships with injured workers, consultants, employers, and internal team members.
• Proficiency with Microsoft Office.
• Eligibility to work in Australia.
• Previous healthcare administration experience is highly regarded.
• Knowledge of Workers' Compensation or Occupational Health and Safety (OHS) is highly regarded.
