Location Overview:

Team Assistant supporting the Resources and Chemicals Research teams. This role operates in a fast-paced environment with evolving and often competing priorities. The successful candidate will be a highly organised team player with strong communication skills and the ability to engage effectively with stakeholders at all levels, including external clients.

Responsibilities:

  • Produce and format research notes and PowerPoint presentations using in-house templates and systems
  • Set up and manage audio/video conference calls (Zoom, Webex)
  • Support Analysts with data collation and research-related tasks
  • Update and maintain spreadsheets, charts, and presentations with the latest data
  • Ensure all publications meet production deadlines and are formatted to a high standard prior to release
  • Liaise with Compliance and Production teams to ensure all research materials pass quality control processes
  • Provide ad-hoc support to Analysts as required
  • Assist Analysts with responding to client requests in a timely and professional manner
  • Handle incoming calls professionally and efficiently
  • Arrange complex, high-volume domestic and international travel
  • Process and manage expenses using internal systems (e.g. Concur)
  • Interact regularly with senior stakeholders and external clients
  • Handle sensitive and confidential information with discretion
  • Manage complex diaries, including scheduling meetings and prioritising requests across multiple stakeholders
  • Organise and coordinate team and client meetings, dinners, and events
  • Provide phone coverage for the team
  • Submit travel and event approvals in line with internal policies
  • Perform daily administrative tasks including scanning, printing, and submitting technology/facilities requests

  • Experience working within a large, fast-paced organisation
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • Proven ability to build effective working relationships with colleagues and clients
  • High level of attention to detail and accuracy
  • Strong planning, organisational, and interpersonal skills
