Business Unit Administration Assistant – 6 Month Contract

We are seeking a proactive and highly organised Business Unit Administration Assistant to provide administrative support to the Business Unit and, as required, the broader team. This role is critical in ensuring smooth day‑to‑day operations, effective coordination, and support across projects and business activities.

Initially offered on a contract basis, this position presents a strong opportunity to develop into a full-time role.

Key Responsibilities

Business Unit & Leadership Support

  • Provide administrative support to the Business Unit Team.
  • Record, prepare and distribute meeting minutes.
  • Manage shared inboxes and correspondence, initiating follow up actions where required.
  • Support and coordinate meetings, functions and events.
  • Maintain Business Unit organisational charts and seating plans.
  • Maintain the personnel movements register, including processes and calendars.
  • Coordinate and support the use of business systems and administrative processes.

Project Travel, Mobilisation & Demobilisation

  • Manage client personnel onboarding processes, including:
    • Booking inductions and medicals.
    • Maintaining access to client systems.
    • Arranging flights, car hire and accommodation.
    • Coordinating the supply of site clothing and PPE.
  • Coordinate travel arrangements.

Training Records & Compliance Administration

  • Arrange training bookings with internal and external providers.
  • Communicate training arrangements to employees and managers.
  • Maintain accurate records of required and completed training in line with the Training Records Management Framework.

Additional Duties

  • Facilitate onboarding for new employees, including access, systems and equipment.
  • Prepare documents, presentations and templates in line with company formatting standards.
  • Log, track and escalate IT service tickets on behalf of sites and internal staff.
  • Undertake other duties as required by the General Manager and/or Business Unit administrator.

  • Strong organisational and time management skills with high attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Confident using business systems, Microsoft Office and administrative tools.
  • A proactive, collaborative and service oriented approach.
