Our Community Engagement and Fundraising (CEF) team plays a central role in sustaining this work. We are looking for a professional and motivated Administration Assistant to support our mission and join our CEF team on a part time basis (22.8 hours per week). We can offer flexibility on the work hours/days.

Reporting to the Head of Community Engagement, this is an opportunity for an organised, values-driven professional to take ownership of our volunteer program while providing broad administrative support to a small, purpose-led team. The successful candidate will be equally comfortable working autonomously and collaboratively, with the confidence to manage competing demands and the judgement to communicate priorities effectively.

Key responsibilities of the Administration Assistant:

• Responsibility for the end-to-end coordination of the CEF volunteer program, including recruitment, screening, onboarding, ongoing support and recognition.
• Serve as the primary point of contact for volunteer enquiries, providing timely and professional responses via phone, email and in person.
• Maintain accurate volunteer records within the CRM system (Better Impact), including tracking and reporting on volunteer hours, contributions and impact.
• Support the development and maintain volunteer policies, handbooks and role-specific resources
• Support event coordinators with volunteer deployment at major events.
• Assist with the ordering, fulfilment, stocktake, and distribution of promotional merchandise.
• Assist with the preparation of board reports, funding submissions, corporate partnership materials and other strategic CEF documents.
• Support the Fundraising Campaign Coordinator with donor reporting, strategic email marketing campaigns, the development and delivery of annual donor communication plans and the execution of annual fundraising appeals.
• Assist with the coordination of internal meetings and logistics.

Skills and experience required to succeed:

• Previous administration experience (1 -3 years).
• Demonstrated experience coordinating volunteers highly favourable.
• Excellent communication abilities coupled with a strong aptitude for diligent follow up and fostering meaningful connections.
• Ability to collaborate effectively within a team while delivering comprehensive administrative support to ensure seamless operations (in a fast-moving setting would be advantageous).
• Proficiency in CRM systems and data management. Experience with Better Impact highly regarded.
• Ability to manage competing priorities, manage stakeholder expectations and work effectively with minimal supervision.
• Possess a driver’s licence and the right to work in Australia.
• Eligibility for a Working with Children Check and National Police Certificate.
