About You
As an Administration and Operations Officer, you’ll play a key role in keeping the School of Engineering running smoothly, providing practical operational support across facilities, events, projects, compliance and stakeholder coordination. Working as part of the School Operations team, you’ll partner with Heads of Department, departmental leaders and teams across the University to coordinate day-to-day priorities. You’ll act as a key point of contact for staff, working closely with areas such as Property Services, Finance, HR and IT to resolve queries and progress operational matters efficiently.

You’ll be a highly organised and proactive professional who thrives in a busy, collaborative environment. With strong attention to detail, sound judgement and excellent communication skills, you’ll be confident managing competing priorities, building positive stakeholder relationships and finding practical solutions to day-to-day challenges. This is a great opportunity for someone who enjoys variety, problem solving and contributing to a supportive, service-focused team environment.

To be successful in this position, you will have as a minimum:

  • Demonstrated experience providing high-quality operational and administrative support in a complex organisation, including the ability to manage competing priorities, coordinate information, track actions and deliver outcomes to agreed timeframes.

  • Demonstrated ability to coordinate facilities, space, equipment, minor works or infrastructure-related activities, including effective follow-up and liaison with property services, IT and other service teams.

  • Demonstrated ability to support events, workshops, seminars or engagement activities, including planning support, logistics, communications, stakeholder coordination and post-event follow-up.

  • Demonstrated experience providing project or operational coordination support, including action tracking, meeting follow-up, implementation monitoring, status updates and coordination of agreed next steps.

  • Strong interpersonal and communication skills, with the ability to work effectively with academic leaders, professional staff, College shared services and University service areas to support clear information flow and timely resolution of practical issues.

  • Demonstrated ability to monitor compliance requirements, deadlines, mandatory training, risk-related actions or local business processes, with the judgement to identify, escalate and follow up issues appropriately.

  • Demonstrated ability to prepare and maintain accurate operational information, reports, action registers, data sets, websites, publications or University systems to support decision-making and service delivery.

  • Proven ability to support routine financial, procurement, HR or workforce administration processes with accuracy, attention to detail and awareness of relevant policies and procedures.

  • Evidence of contributing to practical problem solving, process improvement and consistent ways of working within an academic, professional services or similarly complex environment.

  • Proven ability to foster a positive, inclusive and service-oriented work environment that supports collaboration, accountability and teamwork.

Please Note: Appointment to this position is subject to passing a Working with Children and National Police Check.
