
The YMCA of Pierce and Kitsap Counties is seeking an Administration and Membership Assistant to join our childcare team.

The Administration and Membership Assistant ensures the administrative and operational needs of the branch are met or exceeded to serve and support both our internal team and external members. Administration and Membership Assistant Job Description
Ensures the administrative and operational needs of the branch are met or exceeded to serve and support both our internal team and external members. Provides a quality experience to members focused on YMCA core values: honesty, respect, responsibility, and caring.
Key Responsibilities
·Liaison for all accounting processes and needs.
·Manage purchasing system and process for the branch.
·Maintain branch bookkeeping spreadsheets and update, review and monitor activity.
·Provide materials for all bookkeeping and accounting functions.
·Manage invoicing and billing inquires, processes and requests.
·Lead trainings for staff related to the bookkeeping and accounting systems.
·Branch communication liaison for advisory council.
·Coordination and facilitation of council meetings and events.
·Provide executive support as needed.
·Prepare correspondence, minutes, documents and forms as needed.
·Maintain an orderly office environment to provide efficient service to staff. This includes filing, research, retrieval of records and prioritizing of workload.
·Maintain and monitor administrative systems and processes.
·Monitor and maintain an adequate inventory of office supplies.
·Manage interoffice and incoming mail.
·Maintain all room schedules including facility/room use requests.
·Process credits and refunds as requested.
·Provide administrative support to team as needed.
·Liaison for branch group memberships.
·Manage and monitor Salesforce engagement systems and programs.
·Assist in leading staff and volunteers in all phases of our member services and ensure service to our members is of the highest quality.
·Follow up on staff to ensure proper procedures and policies are being followed.
·Serve as lead staff person for all staff and set the highest example at all times.
·Lead trainings and on the floor coaching as needed.
·Meet performance measurement through annual giving, major gifts, and/or endowment by telling the Y story and raising charitable dollars to fulfill our mission.
·Embraces and actively promotes an inclusive and equitable work environment.
·Other duties as assigned.
Qualifications, Skills and Abilities
·Complete online Child Abuse Prevention training on first day. Complete other online and in-person training as required.
·Experience in office/administrative support.
·Two years of experience in bookkeeping processes.
·Excellent customer service and interpersonal skills.
·Effective and professional written and oral communication skills.
·Proficiency with Microsoft Office Professional.
·Positive attitude and previous experience with diverse populations.
·Complete online Child Abuse Prevention training on first day. Complete other online and in-person training as required.
