Job Description

The Administrative Support, Commercial Services – MEA role provides comprehensive administrative, reporting, coordination, and project support to the Middle East & Africa Commercial Services leadership team. This role is critical in enabling the effective operation of a fast-paced regional commercial organization by supporting reporting processes, executive presentations, meetings, events, communications, and strategic initiatives across Revenue Management, Sales, Marketing, Distribution, Commercial Performance, and Commercial Services teams.

The successful candidate will act as a key coordinator across multiple countries and stakeholders throughout the region, ensuring consistency, efficiency, and high-quality delivery of critical commercial activities.

Key Responsibilities

Commercial Reporting & Business Support

  • Prepare and distribute recurring regional commercial reports, dashboards, and performance summaries.

  • Support monthly, quarterly, and annual business reviews through data collection, analysis, and presentation preparation.

  • Coordinate the compilation of hotel, market, and regional performance information for leadership and ownership reviews.

  • Develop executive-level presentations and briefing materials for MEA Commercial Leadership meetings and regional conferences.

  • Support ad-hoc reporting requests and commercial analytics projects.

  • Maintain reporting templates and documentation to ensure consistency across the region.

  • Utilize reporting platforms and business intelligence tools to support commercial reporting requirements.

Executive & Administrative Support

  • Assist the MEA Commercial Services leadership team with calendar coordination, meeting logistics, and administrative requirements.

  • Organize regional leadership meetings, town halls, workshops, and commercial strategy sessions.

  • Prepare agendas, meeting materials, action trackers, and follow-up communications.

  • Coordinate travel arrangements and business logistics where required.

  • Maintain confidential and accurate records, files, and team documentation.

Project Coordination & Regional Initiatives

  • Provide coordination support for key regional commercial initiatives and transformation projects.

  • Track project milestones, deadlines, deliverables, and actions across multiple stakeholders.

  • Support regional commercial campaigns, sales activations, commercial focus periods, and strategic initiatives.

  • Assist with implementation and communication of new commercial programs, tools, and processes.

Events & Stakeholder Engagement

  • Support planning and execution of customer events, regional conferences, commercial workshops, and team engagement activities.

  • Coordinate invitations, attendee communications, registrations, and RSVP tracking.

  • Assist with organizing market visits, customer engagement events, leadership forums, and recognition programs.

  • Liaise with hotels, owners, customers, and cross-functional corporate teams to ensure smooth execution of events.

Team Communications & Coordination

  • Coordinate regional communications and information cascades across commercial teams.

  • Maintain regional team distribution lists, organizational charts, and contact directories.

  • Support onboarding activities for new team members, including induction planning and orientation materials.

  • Manage regional holiday and leave tracking to support business planning.

  • Assist with training coordination, learning initiatives, and development programs.

  • Support employee engagement activities and recognition programs across the MEA region.

Required Qualifications & Experience

  • Previous experience in administrative, coordination, executive assistant, project support, or commercial support roles.

  • Strong proficiency in Microsoft 365, including Excel, PowerPoint, Word, Teams, and Outlook.

  • Advanced presentation and document preparation skills.

  • Demonstrated ability to organize meetings, events, and stakeholder communications.

  • Strong analytical and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Exceptional attention to detail and accuracy.

  • Ability to work independently with minimal supervision.

  • Strong customer service mindset and stakeholder management capabilities.

  • Ability to manage competing deadlines and priorities effectively.

Preferred Qualifications

  • Experience supporting commercial, sales, revenue management, marketing, or hospitality teams.

  • Knowledge of Hilton commercial systems and reporting platforms.

  • Experience working across multiple countries or international markets.

  • Familiarity with Power BI, Tableau, or business intelligence reporting tools.

  • Project coordination or project management experience.

  • Hospitality industry experience preferred.
