Key Responsibilities - Support the daily management of office operations to ensure a safe, efficient, and productive workplace.
- Coordinate with building management and internal stakeholders to maintain smooth facility operations.
- Monitor office stationery, office supplies, equipment, and service contracts to ensure operational continuity.
- Manage relationships with external vendors and contractors, ensuring service quality and cost efficiency.
- Coordinate maintenance, service schedules, and vendor performance reviews.
- Provide backup support for reception/front desk operations to ensure smooth visitor management and office coverage.
- Review and optimize administrative processes and SOP to improve efficiency and service quality.
- Manage office expenses and admin expenses reimbursement while keeping accurate records.
- Support office-related projects such as office setup, expansion, renovation, or internal improvement initiatives.
- Coordinate with cross-functional teams to ensure project progress and timely completion.
- Assist in planning and executing workplace initiatives, events, or employee experience programs.
- Perform other duties as assigned by the supervisor.
Qualifications
- 4 + years of experience in office administration, facilities coordination, or administrative operations.
- Experience supporting administrative or workplace projects (office setup, relocation, renovation, or operational improvement).
- Strong organizational, problem-solving, and multitasking skills.
- Excellent communication and stakeholder management abilities.
- Experience working with vendors, building management, and internal departments.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Excellent communication and interpersonal skills, with the ability to build positive relationships with stakeholders.
- Strong teamwork mindset and the ability to build positive working relationships within the team and with cross-functional team.
- Creative and proactive mindset with the ability to suggest improvements to administrative processes and workplace initiatives.
