Admin Supervisor

The Admin Supervisor supports the General Manager and Management Team by keeping priorities, schedules, and communication well coordinated -ensuring leaders stay prepared, aligned, and focused. In addition, the role helps ensure the administrative team delivers smooth day-to-day office operations by coordinating workloads, improving processes, and acting as a key connector across functions. This position requires strong reliability, discretion, attention to detail, and the ability to perform under pressure in a fast-paced environment.

Position:

As the Admin Supervisor, you will:

  • Manage the GM’s calendar, schedule appointments, and coordinate internal meetings and conference calls
  • Organize travel arrangements, including flights, accommodation, and itineraries
  • Prepare briefing materials, reports, presentations, meeting agendas, and correspondence in a timely and accurate manner
  • Support the GM in documenting key meetings, business reviews, and strategic planning sessions
  • Coordinate weekly management team meetings, ensuring schedules are aligned, materials are prepared, and minutes are accurately recorded and distributed
  • Support the management team in driving cross-functional projects and initiatives
  • Assist in the preparation and follow-up of management presentations and strategic updates
  • Organize and manage logistics for business visitors, including scheduling, hospitality, and onsite arrangements; serve as a point of contact for visiting executives
  • Handle the settlement of the Management Team’s expenses in coordination with the accounting department
  • Act as a communication bridge between the GM’s office and other departments, ensuring clear and timely information flow
  • Serve as a point of contact for admin-related requests, ensuring smooth office operations and consistent service delivery
  • Support the Admin Manager in identifying areas for process improvement and supporting the development of the admin staff
  • Support the General Services Manager in overseeing the daily activities of the administrative team
  • Handle sensitive information with the utmost discretion and professionalism

Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field
  • 5+ years of experience in an executive assistant or administrative role
  • Fluent in English & Arabic
  • Strong organizational and multitasking abilities; ability to work under pressure
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other administrative tools
  • Excellent presentation skills
  • Creative, proactive mindset; thinks outside the box
  • Strong attention to detail and problem-solving skills
  • High level of reliability, discretion, and professionalism
