Administrative Staff Wanted:

Japan’s premier law firm is now recruiting staff for its brand-new Brussels office. In Europe’s dynamic legal environment, you will play a key role in supporting daily office activities, including payment processing, invoice management, and responding efficiently to attorneys’ requests, while working closely with the Office Administrator to ensure smooth and well-organized business operations.

Key Responsibilities

  • Assisting the Office Administrator with administrative tasks, including daily payments, invoice management, office supply management, general office affairs, etc.
  • Assisting with internal expense reimbursement procedures.
  • Communicating with the Tokyo Office administration team to ensure smooth operations.
  • Assisting with attorney’s requests, such as planning and organizing meetings and business trips.
  • Assisting in the preparation of business pitch materials and newsletters.
  • Organizing and maintaining documents, files, and legal library resources.

Required Qualifications

  • Bachelor’s degree (any major, but in an administrative-related field is a plus).
  • Minimum of 3 years’ administrative experience in a law firm, company, consulting firm, accounting, firm or in a related field. Experience in financial/accounting departments is a plus.
  • Excellent written and verbal communication skills in English are essential; proficiency in French will be given strong consideration, while proficiency in other languages such as German or Japanese are also plus.
  • In principle, candidates must already possess the legal right to work in Belgium.
  • Strong communication skills with internal colleagues and external clients/vendors.
  • Basic PC skills, including professional typing speed and proficiency in Microsoft Word, Excel, and Outlook (or equivalent).
  • Outstanding interpersonal skills and client‑focused attitude
  • Proactive mindset, with the flexibility to handle a variety of tasks and requests.
