Admin Services Coordinator - Department of Cinematic Arts-(26003442)

The Department of Cinematic Arts at the University of Iowa seeks a highly organized, adaptable, and serviceoriented Administrative Services Coordinator to support the daytoday operations of a dynamic academic department. This position plays a key role in ensuring the smooth functioning of departmental activities in support of faculty, students, staff, and the broader university community.

Cinematic Arts at Iowa is a nationally recognized program, offering undergraduate and graduate degrees that integrate creative practice with critical study of film and media. With awardwinning faculty in film and video production, film history and theory, and screenwriting, the department fosters collaboration across artistic, scholarly, and technical disciplines. Students, faculty, and staff engage in teaching, research, production, public events, and community involvement within a vibrant academic and creative environment that values innovation, storytelling, and interdisciplinary inquiry.

Key Responsibilities:

  • Provide administrative and academic support for the Department of Cinematic Arts, exercising a high degree of discretion and independent judgment.
  • Serve as a primary point of contact for students, faculty, staff, and the public, which requires knowledge of departmental, College, and University policies and procedures.
  • Assist Departmental Administrator, DEO, and area heads with course scheduling, including submitting courses in MAUI, monitoring enrollments, and communicating with faculty, advisors, and students.
  • Initiate purchasing requests for supplies and equipment.
  • Coordinate departmental logistics and day‑to‑day office operations.
  • Oversee departmental communications, including the updating websites and databases and creation of promotional materials, news content, newsletters, and social media content.
  • Coordinate facilities, technology, and classroom needs across departmental locations in collaboration with campus partners.
  • Assist with strategic planning initiatives and special projects in support of departmental goals.

Qualifications

Education Required:

  • Bachelor’s degree or an equivalent combination of education and experience.

Required Qualifications:

  • At least 6 months of experience performing administrative duties in an office or professional setting.
  • Demonstrated ability to manage multiple priorities, workflows, and deadlines with strong attention to detail.
  • Excellent written and verbal communication skills, with the ability to build positive working relationships and contribute effectively within a team‑based environment.
  • Strong organizational skills and the ability to maintain accurate records, systems, and documentation.
  • Ability to exercise sound judgment, discretion, and professionalism when handling sensitive or confidential information.
  • Experience supporting projects, events, or operational functions in a collaborative setting.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.

Desirable Qualifications:

  • Experience in higher education, arts administration, media production, or similarly complex organizations.
  • Experience coordinating logistics across multiple stakeholders (e.g., faculty, staff, students, external partners).
  • Experience supervising, training, or providing day‑to‑day oversight of student employees or staff.
  • Ability to identify inefficiencies and contribute to process improvements.
  • Interest in or familiarity with film, media, or creative production environments.
