Designation: Admin Officer

Role Overview:


This role focuses on ensuring smooth and efficient administration and procurement processes through timely coordination, documentation, and compliance. You will serve as a key point of contact for Admin and Procurement matters, supporting program teams with requirements, managing vendor coordination and purchase processes, and maintaining proper records to ensure transparency, compliance, and audit readiness through collaborative teamwork.


Procurement Related:


  • Provide procurement support for North & West region; Delhi, Madhya Pradesh, Haryana, Rajasthan, Himachal Pradesh (Except Gujarat) teams in procurement of goods, identification of new vendors whenever required


  • Identify vendors for eco-friendly procurement to reduce carbon footprint


  • Keep the procurement documents and database updated


  • Ensure procurement policy is adhered


  • Process vendor payment by ensuring GRN


  • Keep office Asset and register updated and provide details for Fixed Asset insurance


  • Assist team in books, stationery, IT items shipment to institution/workshops


  • Assist IT regarding donor donated IT items logistics, diagnosis


  • Assist IT team in lab setup and issues management in NW (Except Gujarat) Region


  • On boarding new vendors & to ensure minimum 3 vendors in each category


  • Support Finance and Admin team with complete documentation by adhering the policies and procedures of the organization.


Admin Related:


  • Identify hotel and venues for events in NW (Except Gujarat) Region for events, training, workshops


  • Arrange booking for local travel and accommodations for staffs and consultants


  • Ensure that the office is being maintained and kept in order


  • Ensure utility, rent payment processed on time, ensure office premise is clean and tidy


  • On boarding new vendors & to ensure minimum 3 vendors in each strategic location


  • Support Finance and Admin team with complete documentation by adhering the policies and procedures of the organization.


People-Related:


  • Employee Onboarding and Exit:

    Be present on the first day of a new employee to welcome them, support basic orientation on office norms, allocate and record office assets, assist with accommodation arrangements, and role model Quest's values and culture. During employee exit, coordinate the asset return process to support full and final settlement.


  • Health and Safety:

    Act as the first point of contact for matters related to travel safety, fire exits, first aid kits, security concerns, and handling emergencies or accidents at the office or in the field. As the legal representative, inform relevant POCs in case of disasters such as floods, heavy rain, storms, heatwaves, or political unrest, and share any applicable weather or safety advisories.


  • Facility Upkeep:

    Manage meeting room bookings, and ensure availability of adequate workspace, furniture, and equipment for staff.


  • Green Practices:

    Oversee waste clearance and promote eco-friendly practices. Encourage reduction of plastic and paper usage in daily operations and during events or workshops, and actively sensitize staff about sustainable practices.


Others:


  • Understand Finance and Admin policy and process related to procurement, travel, contract.


  • Taking ownership of the relevant work and being available for performance review and periodic meetings


  • Being available to respond to the request of the F&A team.


  • Participating actively in the F&A planning and review meetings and team meeting


Required Skills and Experience:


  • Bachelor’s (or equivalent) degree with 3+ years related experience.


  • Working knowledge of Microsoft Office Suite.


  • Proficient in Excel


  • Knowledge of FMS software will be an added advantage


  • Enthusiasm to take up challenges and lead from the front


  • Good communication skills.


  • Candidate should be flexible, self-motivated, enthusiastic, and an energetic team player


  • Ability to work independently as well as collaboratively with other team


Salary:

The pay band for the position starts at Rs. 35,000/- per month (cost to company)
