In this Role, you’ll get to
  • Oversee contracts, including real estate, service agreements, equipment rentals, and outsourcing contracts, ensuring compliance and timely renewal.
  • Maintain accurate records and ensure timely processing of contract-related payments & liaise with legal and finance teams for contract review, risk analysis, and approvals.
  • Supervise office infrastructure, workspace allocation, maintenance, and vendor coordination.
  • Manage security systems, access control, and visitor registration. & coordinate and conduct regular safety audits, risk assessments, and emergency drills.
  • Manage purchasing processes and vendor relationships to ensure cost-effective procurement & negotiate contracts for office supplies, equipment, and services.
  • Process invoices, reconcile payments, and track administrative budgets to maintain cost control.
  • Support internal communication, reporting, and document management.
  • Ensure adherence to corporate policies, office regulations, and administrative procedures.
  • Assist with business licensing, regulatory filings, and compliance documentation.
  • Plan and execute corporate events, meetings, training sessions, and conferences.
  • Facilitate both onboarding and offboarding processes, ensuring a smooth transition for new hires and departing employees.

What you'll Need to Succeed
  • 5+ years of experience in office administration, facilities management, and vendor coordination.
  • Demonstrated experience managing office operations in a dynamic business environment.
  • Strong leadership, organizational and problem-solving skills.
  • Excellent communication, negotiation and stakeholder management skills.
  • Experience supporting office expansion, renovation or relocation projects is an advantage.
