Job Category: Admin - ClericalPRINCIPAL ACCOUNTABILITY
The Administrative Assistant 2 (AA2) provides a full range of administrative support to the Facilities & Fleet team in a professional and timely manner, as well as personalized support to the Director of Facilities and Fleet (Director). The AA2 assists with scheduling, correspondence, document preparation, meeting coordination, and departmental and project support. Additionally, the AA2 ensures efficient daily operations by managing priorities and fostering effective communication across internal and external stakeholders.
The AA2 works on a wide range of matters where strict confidentiality is expected, and professional appearance and attendance are essential. The AA2 exemplifies and champions Carter BloodCare (CBC) Core Values and Code of Conduct and adheres to CBC policies and applicable Standard Operating Procedures (SOPs). To support ongoing development and organizational goals, the AA2 is required to attend meetings and training sessions, as assigned.
This position may require working varied shifts, extended hours, weekends, and/or overtime to support operational needs. Regular full-time attendance is required during normal working hours.

QualificationsEDUCATION
- High School Diploma or GED equivalent
- Associate’s Degree, preferred
EXPERIENCE
- Minimum of 3 years of experience as an Executive (or other senior level) Administrative Assistant
- Familiarity with facilities or construction environments, preferred
SKILLS AND KNOWLEDGE
- Ability to manage multiple priorities, meet deadlines, and maintain strong attention to detail in a fast-paced environment
- Strong written and verbal communication skills, with the ability to interact effectively and professionally across organizational levels
- Exceptional organizational skills, with the ability to anticipate needs, exercise sound judgment, independently resolve routine issues and adjust priorities proactively
- Proficient in Microsoft Office Suite and virtual meeting technologies, with the ability to quickly learn CBC-specific systems
- Exhibits initiative, discretion and professionalism (e.g., dress, skill)
- Strong problem-solving skills, with the ability to work independently and make informed decisions
- Strong interpersonal skills with a collaborative, service-oriented approach
EQUIPMENT USED
- Computer and associated equipment, along with common software and CBC-specific applications/programs, used in this position
- General office supplies and equipment, including telecommunications
PHYSICAL/MENTAL STRESS FACTORS
- Primarily a sedentary job that requires the ability to sit, walk, stand, bend, and move up to 20 pounds
- Mental stress due to tight deadlines and project implementation, within limits anticipated due to the nature and scope of this position
- Ability to stay calm and on task in high-stress situations
