Job Description

Purpose of the Role

The Admin Assistant will provide essential operational and administrative support to the Buying, Merchandising, and E-Commerce teams. The role helps maintain accuracy, consistency, and quality across product data and brand content, ensuring smooth daily operations across all platforms.

Key Responsibilities

App & Digital Content Management

  • Review the app daily to spot and resolve non-complex issues, escalating when needed.

  • Provide weekly app improvement suggestions, including content edits and homepage updates.

  • Conduct spot checks on imagery and flag items requiring design edits.

  • Perform back-end homepage checks, ensuring brand descriptions and supporting content are accurate and up to date.

Image & Product Data Support

  • Source required images for brands, products, and campaigns.

  • Gather and verify PDP (Product Detail Page) content for completeness and accuracy.

  • Upload images across Marketplace (MP) and internal Buy platforms.

Brand & Product Administration

  • Complete brand discrepancy reports to highlight inconsistencies across deliveries.

  • Perform simple brand data pulls and general admin tasks to support Buying and Merch.

  • Prepare and update Product Files for the design team.

  • Support VM (Visual Merchandising) tasks, including organising assets and preparing content.

  • Conduct OC (Order Confirmation) checks to ensure product and order data integrity.

  • Collate, review, and verify product data for uploads to ensure accuracy and consistency across systems.

  • Assist with buysheets, including gathering product details and adding images to ensure complete and accurate documentation.

Requirements

Skills & Experience

  • Strong attention to detail and excellent organisational skills.

  • Ability to manage multiple tasks and prioritise effectively.

  • Proactive approach to identifying and resolving issues.

  • Ability to work comfortably within Shopify and shared file systems.

  • Strong communication skills, with proven ability to collaborate effectively across cross-functional teams.

  • Background in retail, e-commerce, or merchandising is preferred.
