Job Description - Admin Assistant
The Admin Assistant will provide efficient administrative and operational support to ensure the smooth day-to-day functioning of the school. The role involves coordinating with staff, students, parents, vendors, and internal departments while maintaining accurate records and ensuring timely completion of administrative activities.
Key Responsibilities
- Administrative Support
- Provide day-to-day administrative support to the school administration team.
- Maintain and organize physical and digital records, documents, and files.
- Prepare letters, notices, reports, forms, and other administrative documents.
- Handle photocopying, scanning, printing, filing, and document management.
- Maintain confidentiality of school and employee information.
- Coordination & Communication
- Coordinate with academic, non-academic, HR, finance, transport, security, housekeeping, and other departments as required.
- Respond to routine queries from staff, students, parents, and visitors and direct them to the appropriate department.
- Assist in scheduling meetings, appointments, and administrative activities.
- Support communication and circulation of school notices and announcements.
- Data & Record Management
- Maintain accurate databases, registers, trackers, and administrative records.
- Enter and update information in relevant school systems and spreadsheets.
- Prepare routine reports and summaries as required.
- Ensure records are complete, accurate, and updated on time.
- School Operations Support
- Assist with the smooth functioning of daily administrative operations on campus.
- Support arrangements for meetings, events, workshops, orientations, and school activities.
- Coordinate room bookings, seating arrangements, stationery, refreshments, and other logistical requirements.
- Assist in maintaining records related to school assets, stationery, and administrative supplies.
- Report operational issues to the concerned department for timely resolution.
Required Qualifications
- Graduate degree in any discipline.
- 1–3 years of experience in administration, office management, school administration, or a similar role.
- Previous experience in a school or educational institution will be an advantage.
- Proficiency in MS Office, particularly Word, Excel, and Outlook.
- Good written and verbal communication skills.
- Strong organizational and coordination skills.
